MR default output location by user group?

Posted on by Microsoft Employee

Hello,

Currently converting from FRx to Management Reporter.  We have multiple users who will be running the same reports in MR.  The users are assigned to groups, and each group will be restricted as to which units on the reporting tree it can run the reports for.  I am also setting up a separate folder for each group in the Report Library that will also be restricted so that users can only access the folder for the group they belong to.

My question is: is it possible to set up reports so that the output location defaults to the Report Library folder which is assigned to that user's group?  Otherwise I think users will have to go in and select their Report Library folder on the "Output and Distribution" tab each time they open a report, or else click through an error message to set the location.  Would like to prevent the users from having to go through this process each time they want to run a report.

Thanks!

    Hi Babu,

In your post script you allude to the output path - and that is really the issue I am dealing with.  It seems that there is one output path for any given report.  However with multiple users from different groups running the report it will be necessary to output the report to different paths, depending on which user is generating it.  I am hoping that there is a way to have the path be automatically updated (or defaulted) each time a report is generated so that it points to the folder that the user who is generating the report is assigned to.  The reason for this is to save the user the time required to go in and set the path him- or herself each time a report is run.

    Thanks,

    Joe

    Hi Joe,

you can assign group for output folder.  Please refer the following which published by Christina of BKD.

Assigning users or groups to a folder grants them access to that folder and its contents. For example, users assigned to the Report Library root folder automatically will gain access to all subfolders and reports. You also can right-click on an individual report within the Report Library and grant access to a specific report.

In my experience, it is easier to create folders for each report group/security group and assign the appropriate permissions to the folders. Then, any report you publish to a selected folder will automatically inherit the permissions from the folder. Within the Report Library permissions window, you can control the specific View, Edit, Create and Delete permissions for the selected folder/report.

P.S.:  After setting up your folders in the Report Library, don’t forget to update the output path on the Report Definition to the correct folder within the Report Library!
