Hello- can I get some guidance on the below questions?

  1. If an authenticated user wants to send a CRM email from a different email address (on behalf of, queue, other), is a user account/license required for the account associated with that email address?
  2. Can a Team Member licensed users create contacts with a relationship to Account records?  That is, can a Team Member level user Append To Account records?
  3. Is it necessary to have a primary administrative account (organization/environment owner) with full access rights (data encryption or other settings that are limited to only the account that creates the environment)?   This is required on premise as there is only a single account that has certain access.

    1. If an authenticated user wants to send a CRM email from a different email address (on behalf of, queue, other), is a user account/license required for the account associated with that email address? [Ans] - Yes, most likely you will use shared Mailbox feature that also required a license but instead of individual license single license is sufficient if it is like a common mailbox feature
    2. Can a Team Member licensed users create contacts with a relationship to Account records?  That is, can a Team Member level user Append To Account records? [Ans] - Team member can create contact and append that to Account but can't create account. Refer licensing handbook for more information - https://download.microsoft.com/download/9/6/7/96706B15-1CBE-47B7-AB9E-6BC31A377BBB/Dynamics%20365%20Licensing%20Guide%20Feb%202024.pdf
    3. Is it necessary to have a primary administrative account (organization/environment owner) with full access rights (data encryption or other settings that are limited to only the account that creates the environment)?   This is required on premise as there is only a single account that has certain access.  [Ans] - It is recommended to have administrative account from governance standpoint.

    Hey!

For your first question, if the user is Authenticatd, it means he can login to the environment, which requires the user to have a valid license.  A different topic would be sening email adderss on behalf of (like queue), as this would require permissions over that queue (not a license, but permissions).

On the second question, Team Member users can create Contacts.  And can append to the Account. What they can't do is create accounts.

Finally, on your third question will depend:  By default, users with a license should be able to create environments as documented on https://learn.microsoft.com/en-us/power-platform/guidance/adoption/environment-strategy#understand-environments.  HOwever, on large organizations this means uncontrolled storage growth and many other different things.  It's a good practice to restrict environment creation to only certain administrators as documented on https://learn.microsoft.com/en-us/power-platform/admin/control-environment-creation

Please keep in mind that certain features will require that the user creating the environment has additional permissions (for example, to configure Email you might need Exchange permissions)

    Regards,
