Amending a PO

HI all,

What is the best practice for managing amendments to POs? For example, there are times when the PO is amended but wouldn't need to send out the PO document to the supplier again - when the owner of the PO is changed or changing the VAT details. How can we stop the PO document from being sent out when these changes happen?

Amending a PO

Hi,
When you modify a PO that is not yet posted, you need to confirm the PO again. You can do this by either:

Clicking Actions > Confirm, or

Running Generate > Confirmation.

For the second option, it’s important to check how the PO document is sent out. If the confirmation is sent via printing (Generate > Confirmation > Print), you can cancel this process when a PO requires amendment.

We are using F&O v10.0.40. We have workflow set up to approve / reject a workflow and the PO document goes out to the supplier once approvals have been completed and the PO is in a confirmed state. This is what we want to stop when the changes to the PO are superficial only - there is no requirement for the PO document to go to the supplier again

Hi Sarah,

Which exact Dynamics product are you using? Can you also tell us more about your process? Are you having workflow approvals set up? Based on the exact solution you are using and possible customizations there can be an automatic flow setup. Usually, it is not required to send a document physically to the vendor.
