To test this I set up a p/o in my system for 50 widgets, the p/o had number 106019. I then did a partial receipt for 25 of the widgets, giving me Posted Purchase Receipt (PPR) number 107219. As Small K writes there is no reference on the PPR to indicate which p/o the receipt relates to, and there is no button or link to go back to the parent Order.
I then did a further receipt for the remaining 25 widgets (PPR 107220) and posted the supplier invoice for all 50. This resulted in Posted Purchase Invoice 108213 in my system. The Posted Purchase Invoice has no button to link it to the PPRs either and there is nothing on the Invoice to indicate that it originated from an Order (rather than being initiated directly as an invoice). Looking at the posted invoice, and the buttons available from it, there is nothing to indicate that the 50 widgets were received over multiple receipts and no way of finding those receipts.
Further, as soon as the Purchase Order is fully invoiced the system deletes the Purchase Order (there is no trace of order 106019 in my system now). This is standard functionality in NAV ( msdn.microsoft.com/.../hh173005(v=nav.90).aspx ) and therefore I assume also in D365FO, although it seems bizarre to me. I guess the workaround is to keep a pdf or paper copy when the p/o is originally generated and sent to the vendor, but I'm wondering why I should have to when I've got a state of the art ERP system which should be retaining the documents for me?
[As an aside, if you try and undo / reverse a receipt for an order that has been fully received and invoiced then you just get a system message saying it can't be done, the system does not re-open the vanished purchase order.]
As a live user of this system I would want to be able to quickly link between posted invoices, receipts and originating purchase orders, in any direction, it's a basic requirement. There are always going to be invoice and delivery queries that users need this information to resolve and it will be a particular problem for users who make lots of purchases of similar quantities of items from the same suppliers.
To my mind the system could be significantly improved by...
Adding a field for 'Originating Order Number' to the Posted Purchase Receipt card, and populating it with the order number (if any - there won't be one if the posted receipt results from a purchase invoice) when the receipt is generated.
Adding a field for 'Originating Order Number' to the Posted Purchase Invoice card, and populating it with the order number (if any) when the invoice is posted.
Adding a field for 'Posted Invoice Number' to the Posted Purchase Receipt card and filling the field for all relevant receipts as the Purchase Order or Purchase Invoice is posted.
