Paid Transactions Showing Open in GP 2016

Hello,

My Team and I are having problems with paid transactions still showing up in GP 2016. The previous Accounting Manager here, would not share knowledge on how to maintain GP & we are trying to figure these things out as we go. I am aware that there is maintenance that needs to be done in the system, but do not know where to begin.  Does anyone know how to get transactions like this to show as closed?

    Hi,

    If you are talking about Receivables then you need to run the routine 'Paid Transaction Removal' under the Sales | Routines area. This will move the paid transactions from the Open table to the History table.

    As part of the normal month-end process for AR you have the option of running Paid Transaction Removal. This really is a misnomer because you are not removing them simply transferring any total paid AR documents from the AR Open tables to the AR History tables. So all AR documents and their associated payments will move to the history tables if they are fully applied. I usually recommend pushing the check date ahead one month in the event of any NSF checks. In your case it would be good to create a test company and try it in there first to make sure all looks well. Once you have completed this process if you go to Inquiry->Sales->Transactions by customer you will see that documents have moved from the Open state to History.
