Hello! I am wandering if there is an easy way to mass assign roles to organizations instead of going into each role and assigning them manually (see screenshots)? Thank you

Hi,

You can achieve using Data Management Framework.

1) Assign roles to a particular user to a selected legal entity.

2) Create an export data project, with Entity as SystemSecurityUserRoleOrganizationEntity

3) Use the export data project to export the dataset in step 1. Sample data will look like:

4) Using the exported data and prepare the Excel for uploads.

5) Create a Import data project with the dataset from step 4.

Hi Brook,

Next to the option as mentioned by Yng Lih, there are more options to manage the organization assignments in a different way. You can use automatic role assignments or Entra ID groups where in the rules and definitions you can pre-assign the organization to a role. See also some of my blogs:

Hi,

There are two ways that come to my mind that has not been mentioned yet. This works only if you are talking about assigned organizations to the current users and not new ones.

Use the excel add-In with the entity mentioned by Yng Lih (SystemSecurityUserRoleOrganizationEntity)

Custom script Run custom X++ scripts with zero downtime - Finance & Operations | Dynamics 365 | Microsoft Learn

If the excel add-in works, then you could also achieve the same with power automate flows for new users. However, in this case I would first check the solutions from André.

Curious, for roles already created that have not been tied to an organization and will eventually be tied to different organizations, can I create a parent role which and assign an organization to that parent role ? Does the organization that the parent role is get assigned to the sub-roles? Thanks.

Hi Brook,

The organization assignment should be done per role assignment. In case you have a parent role with 3 sub-roles, then the organization assignment is valid for the whole role, including the sub-roles.

In case you also have the direct assignment of one of more of these roles, linked to the parent, then it will not inherit the organizations from the other assignment with the parent role.

E.g. Security role "Master" has three subroles:

- Sub A

- Sub B

- Sub C

If you only assign the Master role, then one organization assignment will be sufficient.

In case Sub A, B, and/or C is also directly assigned, then this assignment has it's own organization assignment settings.
