Business process flow not switching

Hello everyone,

Hopefully you can help me out with a Business Process flow issue:

I have two business process flows configured:
  • RealEstate: starts on the Lead entity and continues into the Opportunity with various stages.
  • Net: starts directly on the Opportunity entity with its own stages.

When I create a Lead, the RealEstate BPF is available and I see the "Switch Process" button (even though it is the only BPF on the Lead). However, after I qualify the Lead and it becomes an Opportunity, the RealEstate BPF is still visible, but the option to switch to the Net BPF is no longer available.

Is there a reason why the "Switch process" option is missing on the Opportunity form after qualifying the Lead?

Thank you in advance.

    Business process flow not switching
    Hello JS-20021515-0,

Yes, there are a few key reasons why the "Switch Process" button might disappear on the Opportunity form after qualifying a Lead, even if you have another relevant BPF (like "Net") that should be available.

Here's a breakdown of the common causes and how to troubleshoot:

Likely Reasons for Missing "Switch Process" Button on Opportunity:

    1. BPF Applicability and Triggering Entity:

      • The "Net" BPF starts directly on the Opportunity entity. When a Lead is qualified, a new Opportunity record is created. However, the system might not automatically recognize that the "Net" BPF should now be the default or an available option for this newly created Opportunity.

      • The "Switch Process" button typically appears when there are other BPFs that are also applicable to the current entity (in this case, Opportunity). If the system doesn't consider the "Net" BPF as immediately applicable to the Opportunity created from the Lead, the button might not show.

      •

    2. Order of BPFs:

      • The order in which BPFs are listed for an entity can sometimes influence which one is applied by default. However, it shouldn't necessarily hide the "Switch Process" button if other valid BPFs exist for the entity.

      •

    3. Potential Data Inconsistencies During Lead Qualification:

      • In some rare cases, data inconsistencies during the Lead qualification process might prevent the system from correctly identifying the applicable BPFs for the newly created Opportunity.

      •

    4.

    Troubleshooting Steps:

    1. Verify Applicability of "Net" BPF to Opportunity:

      • Go to Settings > Processes.

      • Open the Net Business Process Flow.

      • In the "Applies To" section, ensure that Opportunity is selected as the primary entity.

      •

    2. Check if "Net" BPF is Active:

      • Make sure the Net BPF is in an Activated state. Inactive BPFs won't be available to apply.

      •

    3. Examine the Lead Qualification Process:

      • Review any customizations (workflows, plugins, etc.) that run during the Lead qualification process. It's possible that something there might be influencing which BPF is associated with the resulting Opportunity.

      •

    4. Manually Try to Apply the "Net" BPF:

      • Open the newly created Opportunity (that originated from the Lead).

      • Look for the BPF control at the top of the form (where the "RealEstate" BPF is likely displayed).

      • Click on the name of the current BPF ("RealEstate"). A dropdown should appear showing other available BPFs for the Opportunity. Does the "Net" BPF appear in this dropdown?

        • If it does appear in the dropdown: This suggests that the "Net" BPF is applicable, but the "Switch Process" button might not be showing for some other reason (possibly a UI glitch or the system not immediately recognizing it as an alternative after qualification).

        • If it does NOT appear in the dropdown: This indicates that the system doesn't consider the "Net" BPF applicable to this specific Opportunity record. In this case, double-check the "Applies To" setting of the "Net" BPF and ensure there are no data conditions on the Opportunity that would prevent it from being eligible for the "Net" BPF.

        •

      •

Why the "Switch Process" Button on Lead?

The "Switch Process" button might appear on the Lead even with only one BPF because the system anticipates that other BPFs could potentially apply to the Lead entity in the future, or it's a consistent UI element across entities that support BPFs.

To resolve this, focus on ensuring that the "Net" BPF is correctly configured to apply to the Opportunity entity and then check if it's available in the BPF dropdown on the Opportunity form itself.

Good morning, afternoon, or evening depending on your location!

It sounds like the "Switch Process" option is disappearing due to the way Business Process Flows (BPFs) are configured and how the qualification process affects them.
Here are a few possible reasons why the option to switch from the RealEstate BPF to the Net BPF is missing on the Opportunity entity:
    1. Only One Active BPF on Opportunity
      • The "Switch Process" button appears only when multiple active BPFs exist for an entity. Since the RealEstate BPF is carrying over from the Lead qualification process, it's possible that the Net BPF is not being recognized as an alternative BPF on the Opportunity.
    2. BPF Record Not Created for Net BPF
      • When a Lead is qualified, the resulting Opportunity inherits the existing BPF from the Lead. The system does not automatically assign an alternative BPF unless explicitly configured. You may need to manually associate the Net BPF with the Opportunity records.
    3. BPF Security Role Restrictions
      • Ensure that the security roles associated with the Net BPF allow switching to it within the Opportunity entity. If users do not have permission to use the Net BPF, it might not appear as an option to switch.
    4. BPF Configuration in System Settings
      • Check if the Net BPF is enabled for Opportunities in the Business Process Flow settings under Processes in Power Platform. If it is inactive or not set up correctly, it won't be available as a switch option.
    5. Process Dependency Issue
      • Since RealEstate starts on Lead and continues on Opportunity, the system may prioritize continuity, preventing switching upon qualification. To override this, consider reviewing dependencies or manually updating the BPF once the Lead is qualified.
    Suggested Fixes:
    • Manually Set the Net BPF – Navigate to the Opportunity entity and manually apply the Net BPF to test if switching works.
    • Verify BPF Activation – Check if the Net BPF is correctly published and activated.
    • Review Security Roles – Ensure users have permission to switch BPFs.
    • Test New Opportunity Record – Create an Opportunity directly (without a Lead qualification) and see if switching to Net BPF works.
If none of these steps resolve the issue, it may require deeper troubleshooting in Power Automate, JavaScript customization, or a check on system updates affecting BPF behavior.
