How to Reduce Account Segments

Posted on by Microsoft Employee

I recently added 7 account segments under account format setup... now I'm not able to delete them since I already have account numbers in. Is there a way to override this?

Thanks!

It just happened that MVP Leslie has published a comprehensive article on Reshuffling your Account Structure

This article will definitely take you through a detailed step-by-step process until your end target is fulfilled.

RE: How to Reduce Account Segments

    Hi Everyone,

Thank you all for your valuable input. I started off with 7 segments, and i'm now down to 3... however when I followed the steps in somakarpagamoorthy's answer, the new numbers didn't transpose exactly right.

    For Example,

xxx   -xxxx   -xx---- is what I started with... now I have xxxxxxx-xx-

I then tried to repeat the process. I fixed the numbers so that they would show up as 000-4567-89 instead of 0004567-89- . Upon completion, when I went to modify, it showed up as if no accounts had been edited (and the report run showed no accounts as well).

    Any suggestions?

    Thanks!

RE: How to Reduce Account Segments

This is what my company used to change our account format from 6 segments down to 3.  A couple things to note with this.

1 - Depending on how many accounts you have this could take a long time.

2 - If I recall correctly during this process no one can be in the company until the process is done.

3 - We ended up calling Microsoft for assistance because it was taking forever to run the process.  They ended up providing us with some new indexes to help the process but our partner removed the indexes once the change was done so I can't tell you how the index was configured.

If deleting the account numbers in order to delete the segments is not an option, then use the PSTL account modifier to override the existing account segments. Here is a link on how use this tool Using Account Modifier PSTL to change GL Account

Kimberly, what does your account format look like ?

If you have 7 Segments, do you have values in all the fields?

Using the  xx-xx method - what is the format you are entering?

How can I change the account segments assigned? I don't want to have to delete all of our progress with accounts.

    Thanks

RE: How to Reduce Account Segments

In order to delete an account segment (Tools > Setup > Financial > Segment), it should not be assigned to any account number.

Therefore, you need to either delete the account numbers assigned to this segment, or change the account segment for these accounts. Then, you can smoothly proceed and delete the segment.

    Your feedback is highly appreciated,
