Item Reference 5777

Good morning,

I created a configuration package and Yun your Dynamics 365 Lab article helped a lot. I'm using the configuration package to add UPC codes to the item number.

When the package was created, I included the field ‘usage data supplier ref. entry no.’ but nothing was entered. The data was uploaded but with errors and it's referencing this field.

What is expected in that field in order to correct the errors?

Regards

Rosemary

Hi, I am glad to be of help. Regarding the point you mentioned, it links to the tables below. If necessary, you can maintain the data in advance.

    Hello Rosemary,

For your purpose—adding UPC/barcodes as Item References—you should not populate Usage Data Supplier Ref. Entry No.. That field belongs to Business Central’s Usage-Based Billing / Subscription Billing functionality and is used to link an item reference to a Usage Data Supplier Reference; it is unrelated to normal barcode references. Microsoft documents that usage-data product references can also appear through Item References, which is why that field is exposed on table 5777.

I would remove Usage Data Supplier Ref. Entry No. from the configuration package entirely and import only the relevant Item Reference fields, such as:

    Item No.
    Unit of Measure
    Reference Type = Bar Code
Reference Type No. — normally blank for Bar Code
    Reference No. — your UPC/barcode
    Variant Code if applicable
    Description if required

So in the screenshot you shared, values such as 051131068391 should simply be entered in Reference No.; there is no corresponding value you need to invent for Usage Data Supplier Ref. Entry No.. After removing that field from the package, reimport/validate the package and check the remaining errors. If an error still occurs, the exact error text would help identify whether one of the key Item Reference fields is missing or duplicated.

Hi Rosemary, that field is not from the standard Item Reference, as far as I know it comes from the Subscription Billing app. It points to the usage data supplier references, used when you bill usage data from a vendor like a cloud provider. For UPC codes you don't need it at all.

The error comes I think because it's an integer with a table relation. You left it empty, so the package puts 0 and then tries to validate 0 against that related table, and of course there is no such entry.

So nothing to fill there. Go to the package, open the fields of table 5777 and untick Include Field for it, or at least Validate Field. Then delete the error records, import the Excel again and apply.

One small thing, your reference numbers are mostly the same as the item no., is that really the UPC? Only the first line looks like a real barcode.

Glad to help - follow up if anything is unclear.

►  If this solved it, marking it verified helps others too.
