Share records with User-Created Access Teams

Hi All,

I have a User-Created Access Team with some defined users added to it. Now, I want to share a particular Case record with this team. Note that I am not referring to the System-Created Access Team which can be defined using Team Templates.

I have two questions here:

1. How do I share my Case record with this Access Team directly from the form itself without going through multiple clicks (Share->Add User/Team->Filter Access Teams etc.) ? The way we create a sub-grid for System-Created Access Teams (using Team Templates), can we have something which displays the list of Access Teams linked to the record and allows us to add/remove associated Access Teams from the sub-grid itself?

2. I understand that since Access Teams don't own records and don't have any security roles assigned, the overhead of sharing a record with an Access Team would be relatively lesser than sharing with an Owner Team. Also, I think even sharing records using Access Teams creates POA records internally. Kindly confirm if this understanding is correct.

    Hi,

    1. This is the only way I know of (share->add user/team). I believe only system-created teams are visible in those grids

    2. From the sharing standpoint, I think it's the same. The difference is that any change to the owner team may affect cached security and, therefore, cause additional performance issues (in other words, it's still sharing no matter what.. but access teams do not affect security cache)

    PS. And one other issue with those manual access teams is that they will not be deleted automatically once there are no users in them.
