Integration Manager and Sales Transactions

Hi,

 

I'm importing 20 sale invoices to GP through Integration manager. Does anyone know how to map Quantity, Billed Quantity, and Quantity Fulfilled? I've tried mapping all three to the same field, (hours rounded = 1, 1.5, .5, .25, etc.) and I got the following error message:

 

DOC 1 ERROR: Quantity Fulfilled for item CONSULTING-PLATFORM is greater than the line item's remaining quantity. - Quantity Fulfilled for item CONSULTING-PLATFORM is greater than the line item's remaining quantity.

DOC 2 ERROR: Quantity Fulfilled for item CONSULTING-IAAS is greater than the line item's remaining quantity. - Quantity Fulfilled for item CONSULTING-IAAS is greater than the line item's remaining quantity.

DOC 5 ERROR: Quantity Fulfilled for item CONSULTING-ERP is greater than the line item's remaining quantity. - Quantity Fulfilled for item CONSULTING-ERP is greater than the line item's remaining quantity.

 

Next, I mapped Quantity, Billed Quantity, and left Quantity Fulfilled as default which came up with no errors. But when I printed a batch edit list, my quantity fulfill does not match my quantity. Surprisingly all the line items have a Quantity Fulfill of 1.

 

Lastly, I only Mapped Quantity and left the other 2 options as default. I then got the following error:

 

DOC 2 ERROR: Quantities for item CONSULTING-RCM on line 2 are not properly distributed. - Quantities for item CONSULTING-RCM on line 2 are not properly distributed.

DOC 3 ERROR: Quantities for item CONSULTING-ERP on line 2 are not properly distributed. - Quantities for item CONSULTING-ERP on line 2 are not properly distributed.

 

Does anyone know what the issue is for mapping the quantity?

    I'm mapping both Quantity and Billed Quantity to the same field. So ideally IM should be taking the same information for these two fields. Take for example, I have 2 Quantities. I want 2 in Quantity, 2 in Quantity Billed, and 2 in Quantity Fulfilled. But Instead, GP is giving me, 2 Quantity, 2 Quantity Billed, and 1 in Quantity Fulfilled. I think I'm getting a 1 because I left Quantity Fulfilled as "Default". When I map Quantity Fulfilled to the same field, it gives me another error - DOC 1 ERROR: Quantity Fulfilled for item CONSULTING-PLATFORM is greater than the line item's remaining quantity. - Quantity Fulfilled for item CONSULTING-PLATFORM is greater than the line item's remaining quantity.

    When I tested a sales transaction, Quantity Billed and Quantity Fulfilled are auto-populated once Quantity is entered. GP will not let you go any further if the three fields don't match. So I guess my question is how do you map the quantity field? Do you create 3 separate columns with the same information and map it like that?

    Richard is correct. Try to manually enter a transaction with same data provided in IM import file. If the manual transaction works, then start IM to integrate the transactions.

    SOP has some very specific rules that must be followed when entering data into the line items about quantities.  For example, the quantity fulfilled cannot exceed the invoice quantity nor can it be less than the billed quantity.  If any quantity is in the quantity back ordered field, the quantity that can be fulfilled is reduced by that amount.

    Try taking your data and manually entering a sales transaction.  The combination that works is the one you want to use in IM
