Hi,
Unfortunately, there is no supported out-of-the-box way to customize the "Select Record" dialog that appears when clicking Insert Template on an email form.
The Field Name options, such as To and Regarding, are determined by the standard Dynamics 365 email template functionality. Currently, there is no supported configuration that allows you to set a default value such as Regarding, especially based on the model-driven app from which the email is opened.
For example, the following type of configuration is not available out of the box:
There is a system-level option related to skipping the Select Record dialog, which may be useful depending on your scenario. However, this setting applies at the environment/system level and cannot be configured differently for individual apps.
If the requirement is specifically to always use Regarding when the user accesses the email from a particular app, you would likely need a custom implementation. For example, you could create a custom command/button for template insertion and implement custom logic to use the Regarding record as the template context.
So, in summary:
Hope this helps.
@nvrhughes OOB "Insert Template" dialog is not supported for customization. While browser-based DOM manipulation using DevTools and custom JavaScript may be technically possible, it is unsupported and could break after Microsoft updates your environment. recommended approach is to build a custom command/button and template selection experience if a default of "Regarding" is required.
@nvrhughes
Yes, he may technically manipulate it in the browser, but Microsoft does not provide a supported way to do it, and it is risky for production.
Also, one important point: Microsoft currently documents that the enhanced email template selection experience has configurable settings, including options related to the Select Record dialog, so I would avoid saying that nothing whatsoever can be configured.
