Sync Contacts with Outlook

I am having a very difficult time finding documentation and instructions on the integration capabilities between Dynamics 365 for Financials and Microsoft Outlook.  I think part of the problem is the naming convention between all these products, there is Dynamics 365 CRM, Dynamics 365 for Financials, for sales, Office 365, etc.  This basically makes a google search impossible because everything I find is for the wrong products.

I have a question from a client, "Can we sync Dynamics 365 for Financials contacts with Outlook contacts?  Do contacts in Outlook Customer Manager sync with Dynamics 365 for Financials?  What can we integrate between Dynamics 365 for Financials and Dynamics 365 CRM?"

Can anyone point me to some documentation or media regarding the capabilities and possibly instructions on how to set it up for the topics above, if it's even possible?  I know in the contacts list in Dynamics 365 for Financials, there is a button to sync with Outlook, but I'm looking for documentation regarding what that does and how it works before I just click the button and screw up their entire contact list.

Thank you,

Tanner

    Hi Tanner,

Thanks for the feedback on the product naming. I can understand the frustration.

We have our documentation published at the site below. However, we are light on the documentation specific to the Outlook contact sync functionality.

    docs.microsoft.com/.../dynamics365;panel=business.

For syncing contacts to Outlook, this is done from the Exchange Sync. Setup page. The user must enter credentials that will be used to log into Exchange and do the sync. Then select the Contact Sync. Setup button to open the page where you can select additional sync settings. You can select filters if you only want to sync select contacts with your Outlook contacts. The process then creates a folder in Outlook where the contacts will be synced. The name of the folder is what you select in the Folder ID field.

This is a two-way sync. Any new contacts or updates entered in Financials will be pushed to your folder in Outlook, as long as the changes meet the filters set. Any additions or updates to contacts in the folder in Outlook will be pushed back to the shared list in Financials. However, because of business requirements around deleting contacts in the application, the sync does not consider deletions.

Let us know if you have any other questions on this.

    Thanks!

    Jared,

Thank you for the reply.  I believe this will resolve our issue, so I have marked the answer as verified.  I can't personally test because the user I log into the client system (365 financials) with is different than my user for my Outlook.  I have instructed the client to try setting it up for one of their users since they would be using the same login for Outlook or Office 365 as they would be for Financials 365.  If we run into further issues, I will reach out, but I'm hoping their testing will go smoothly.

    Thank you.

    Jared,

We got the sync setup and working, to an extent.  It created a "Financials" folder in outlook and pushed all the contacts in correctly.  I also verified I could change info for a contact in either system, and it would sync to the other system.

The problem is with additions.  I know you mentioned deletions won't sync, but it appears additions aren't syncing either.  I never set up any filters, just synced everything.  However, regardless of whether I add a new contact in 365 or in Outlook, it won't show up in the other system.  Do you have any idea as to why I am seeing this behavior?  Again, modifications are working correctly, just not additions.

    Thank you,

    Tanner

    Hi Tanner,

Sorry to hear it. Can you tell me which properties you are filling in for the new contacts? There is an issue in the code that we're working on that requires contacts to have an email address entered in order to sync correctly. If you have an email address entered for the new contact, does the sync work for you then?

    Jared,

Thank you for the quick reply!  I have instructed the client to go ahead and test again, but I am confident that is the issue.  I created a new contact in 365 as well as in outlook, and neither new contact synced to the other system.  However, I was simply filling in the contact name just for test purposes.  I definitely didn't put an e-mail in for either contact, so I don't doubt that is the cause of my issue.

    Thank you!
