Payment Journal - Customer Offset Account Type

Hi,

I'm implementing an interface to Dynamics 365 for Finance and Operations, and part of this requires payment journals to be created in Dynamics.

I'm currently having an issue with the following problem:

Payment of £1000 is made to settle a £600 invoice from Customer A and a £400 invoice from Customer B.

It doesn't seem to be possible to register a single payment and settle two invoices on different accounts using the Payment Journal.

A potential solution was to post £1000 to customer A, settling the £600 invoice with Bank as the offset type.  Then settle the £400 invoice on Customer B using Customer A as the offset account.  However, this produces an error: 'There can only be one vendor or customer transaction per voucher.'

Has anyone come across this issue before?

    Hi,

Can you explain how you can receive a single payment for invoices from different customers?

Are these customers related or completely independent?

If they are related, each customer should have the invoice account field filled that creates an open position at the invoice account and not the individual customer level. Assuming that this is the case then you can settle the GBP 1000 with the two open invoices.

    Best regards,

    Ludwig

    Hi DanKerby94,

I had seen a similar requirement in the past, but the difference was that there was a payment per invoice. In my case, it was a bank which helped with clearance of people with debts. Can you arrange to also get a payment per invoice or per customer? That would be the most easy way to do.

If you also have not related customers, you can post the receipt on a suspense ledger account. Then you can also revert this having the customer payment settlements with this suspense as offset.

    Hi André,

Unfortunately we're trying to create a generic interface that'll be used by our customers, so we don't have any control over their payments.

The method of posting to a suspense ledger account first does work though, thank you for that!

    Hi Ludwig,

I'm not certain of the scenario that causes this.

I'm creating a generic interface that will be used by our customers to send allocation data back into Dynamics.  We currently don't have any grouping functionality within our allocation software, so when we send the information back to Dynamics, we can't see whether the customers are grouped together.

The invoice information is also taken directly out of Dynamics, so in the case that the customer is related, and the invoice account field is used to raise the invoice, then in our system the invoice is sat against the invoice account anyway, so that should handle the related customers.

    Many thanks,

    Dan

    We have a similar requirement.

Our bank statement shows a lump sum payment (from a lockbox, or EFT/ACH, etc) which is comprised of 10s-100s of customer payments in one line.

When AR enters these payments in a customer payment journal, the offset account requirement posts every single payment individually. So when we try to run our bank reconciliation, the bank statement may only have 100 lines, but the D365 bank reconciliation has thousands. So you sit there forever just trying to align hundreds D365 payments to a single bank deposit, clicking clear, clear, clear, clear, etc.

A terrible waste of time and effort. Any ideas for improvement would be welcome.

Why not create one line per customer and not use the offset account and create an additional line for the bank account?

I tried that, and while it seems to work for manually entered lines, when I use Payment Proposal it creates a new voucher for every customer so a single offsetting line to balance doesn't work. It says the Voucher is out of balance even if the overall journal is in balance.

Is there a way to create a Payment Proposal with a single voucher?

    Hi Ryan,

For one voucher number, can you try with setup "one voucher number only" for customer payment journal. In the customer payment journal name setup, select " one voucher number only" in the New voucher field.

This is a solution and appears to work in my test. However in researching it, Microsoft plans to depreciate One Voucher with future releases so this is likely an unwise solution at this stage. Thanks for the idea tho.

Are there any other solutions to the 'one bank transaction - multiple customer payments' issue? Seems weird there is no native solution for this. We came from GP and it had this built in (choose what customer transactions you want to post as a single entry to the bank). Can't be the only company with this requirement, unless everyone else is using 3rd-party solutions?

I also tried having each customer payment offset to a clearing Ledger-type account, then have a final Bank transaction offset to said Ledger clearing account (so Bank ends with a Debit, Ledger-clearing account is $0, and AR is reduced). It may solve the problem but adds complexity for the user.

    Any other ideas?
