Keeping track of certain obligations to clients

Posted on by Microsoft Employee

Hi,

We are setting up a new dynamics CRM environment for our company and one of the requirements is that we track certain obligations to our clients.

One example would be that for a given contact we would want to track if they are eligible for a gift at christmas time so that we can quickly filter or view all contacts for which a preset is in place.

Another example is that sometimes our clients ask for a certain course offering that we do not offer at the time, but might offer later on when there is enough client interest or we have resources available.

We internally proposed of making a dropdown menu on contact and/or account where we can choose from a multivalue list so that a view can quickly reveal these items. However I feel this will quickly be cluttered with options and we would have to look in different places to get the whole picture.

How would we best go about solving this in Dynamics CRM 2015? Are there any elegant ways to do this?

Thanks in advance!

Best regards,

Andres

Thanks, Neil. Option 2 looks interesting.

I will look into that N:N relationship and intersection entity a bit more.

I guess there are several ways to implement this type of functionality, some ideas below.

    1. Simply add a two option field(s) to the contact form. Called "Christmas gift Y/N" etc. This would work but if you have loads of options or the options change isn't elegant.

    2. You could create a custom entity of options that can be related to the contact. Potentially this would be a many to many relationship to contacts. As each option would relate to multiple contacts and each contact would have multiple options. (I've done something similar and actually implemented a manual many to many. As then you could add additional information on the intersection entity. Such as the size of Christmas Gift etc. Plus I made use of a quick create form to make the user interface as pleasing as possible.)

    3. You might also consider using marketing lists. Especially if you plan to run campaigns based on this information. Maybe you could have a marketing list for all contacts that will get a gift at Christmas etc.
