AP Batch Workflow and posting

Posted on by Microsoft Employee

We are in the final stages of testing our 2015 environment, one item we are attempting to go live with is the new way to approve AP batches.

Our AP person created/submitted a batch, Manager approved the batch, then the AP person poked the post button...it did not work (thankfully) but produced an error " The stored procedure glpBatchCleanup returned the following results DBMS:0 Microsoft Dynamics 20488" Details were " glpBatchCleanup. Error occurred attempting select from Batch_Headers"

I have corrected this batch and instructed the AP person not to try to post, but was wondering if anyone else has experienced this behavior and perhaps knows a way to prevent it?

As always, thank you for any and all input!

Thank you for your response....still testing but I have learned that some of my issues are because I am logged in as an admin on my machine and by logging into GP as an APClerk it allows the APClerk to have access as me. Took me a minute to sort that out.

    Hello Michael

I have thoroughly tested the workflow 2.0, considering various scenarios derived from actual business case studies, what I am sure of is that the "Post" button will not show on the batch window until the batch completes all required approval, this is comprehensively illustrated on GP 2015 - Understanding Payable Batch Approval

I believe this will definitely make sure that no one will post the batch until the process is completed, right ?

I would appreciate your feedback for any further concerns,

Michael, are you saying that adding the Workflow added the ability to POST for the AP user?

If that is the case, then it is likely that the security around the 'ability to post' in the system for that level of user is not complete.

I think you are going to have to review the security assigned to the user, review the necessary security setting to complete the desired tasks and make the necessary changes.

    Hope this helps.

Thank you for this, actually I found this and used this information to correct the issue. My question has to do with the workflow 2.0 approval process and how to prevent our AP person from attempting to post...previous to workflow this was not available to the AP person...does that make sense?

    Thanks again!
