Iv come across a concept that I'm not sure if is available or how it works in dynamics, the case is described below :
Two departments ( business units/ teams .. which ever one would apply ) have the same entity record ( contact record "Tim" for example ) ... but they have different information in one of the fields.. lets say the "role" field. for department A , that contact is an Assistant , and department B , that person is a Main Contact Person,
is there a way to facilitate that where, i do not duplicate the contact within the two departments, and where the admin has access to see both roles ?
i am thinking that a N:N subgrid might be what we need, where the ownership of the choice is given to the department, so that the other department doesn't see it. but i am not sure if i could give that specific field choice a business ownership.

Hi, yes you are right. Instead of creating new field create new custom 'Role' Entity with User & Team ownership. Create N:N relation between Contact and Role Entity. Add Subgrid on Contact record. Create 'Assistant' role record with owner as department A team/user. Create 'Main Contact Person' role record with owner as department B team/user. Team/User from both department should have Business level access on 'Role' entity. This way both department won't be able to see each other's Role entity records.

You could create a custom entity (Ownership: User or Team) with a lookup to the Contact entity and add this to the subgrid on the Contact form. Set the access level to Business Unit for the custom entity, so the Teams won't see the each others "Role" records.
