Permission and Restrict the Users Department Wise

Hello Experts,

In Business Central (BC), I have multiple departments such as Sales, Purchase, and Finance.

I would like to restrict users from accessing documents belonging to other departments. For example, Sales department users should not be able to view Purchase documents, and Finance users should not have access to Sales or Purchase documents.

Is there a standard solution in BC—such as Permission Sets or Security Filters—that can help implement this kind of departmental access control?

    Create a new permission set, and use the Record option to easily create the needed permissions. Once You have started recording, you need to do most of the daily tasks for this position (for example, if recording purchase role permissions, open vendor list (create,modify and delete one card, create purchase document,modify, post receipt (if orders are used) and invoice and the same for credit memo), then stop recording. 
    You can the re-check the created permission entries and maybe remove some which seems too much (because of fact boxes on pages it could be more than needed permissions are added).

    repeat the same for Sales and Finance departments.
    This way You should be able to create permission set for most of the daily tasks, and some additional permissions will be needed to be added to these permission sets.

    Then You can create a User group - Sales, Purchase and Finance. Add the created permission set to this group and then add the needed users to this user group.

    P.S. If permission set will not contain permission to Page 9307 (purchase order list) user will not be able to search for this list. The same for all other lists - Customers, Vendors, Purchase Invoices etc.. so make sure the Page is not added in department permission set, that doesn't need to able to open it.

    Hello ,
     
    Nope i cannot achieve with Responsibility Center and Security Filter on the same because i want that User should not able to Even Search for "Purchase Order" or "Purchase Invoice" and If by chance it access then it will give an error to User that you dont have the Permission.
     
    Can you Please Provide an Example with Error SS for Accessing PO by Sales User?

    Yes, you can restrict users department-wise in Business Central using Security Filters within Custom Permission Sets.

    Approach:


    1. Create Custom Permission Sets: For each department (Sales, Purchase, Finance).

    2. Assign Permissions: Grant access to the relevant tables/pages needed by that department (e.g., Sales users get Sales Order tables).

    3. Apply Security Filters: On tables where you want to restrict record-level access (e.g., Sales Header, Purchase Header), add a Security Filter.

      • Example: For "Sales Department User" permission set, add a filter on the "Department Code" field (if you have one) on the Sales Header table, allowing only their department's code.

    In short: Use Custom Permission Sets with Security Filters on relevant tables to restrict record-level access based on department.

    Create permissions set for each departments like "Sales permissions", Purchase Permission" , sales department permissions etc..
     
    Now, Assign relevant permissions to specific users
