How can I modify completed email activities with additional data

The objective here is that all activities need to have two codes associated with them.  Lets call the codes Activity code and Result code.  Both of these attributes are represented as OptionSets with several 2 - 3 character in length.  There is lots of historical data , and since the fields where not required there is lot of holes in the data.  What I am trying do is fill in the gaps.  Does anyone have a suggestion on how the user can easily push a button or be notified that one or both of the codes are missing and need to be updated?  Prior to the upgrade to version 8.2 I had a web resource that created a button directly on to the form, and would trigger a dialog.  Then on the dialog there was a page & response that contained both the fields.  The user would choose what they wanted the clicked through the clunky system dialogs prompts.  I had a nicer looking, smoother dialog but couldn't figure out how I could get the selected values back down to the form.  I admit that this was one of my first projects that I had worked on and have grown a little since then.  But could use some suggestions on how to tackle this.

Also, with this same project I also need to collect the data of these 2 attributes from all activities.  Emails, Phone Calls, Tasks, etc....  I had put together a custom entity that would use workflows to create linkage between the activity and  the entity.  Does anyone have any links that could help me reconstruct my project.  I could provide the code that I had used upon request.
