New to GP, have a couple of questions

#1.  Can you print a previous bank reconciliation and if so how?

#2.  My A/R and A/P Trial Balances seem to bear no resemblance to the balances on the financial statements.  Why is that and what can I do about it?

#3.  I am more used to other software packages that allow you to print a report of all transactions in a given account during a month.  I can't seem to get that kind of reporting from GP.  Any ideas on what report I can run?

#4.  The company I work for is having a hard time with the user interface of GP 10 and getting timely customer service information while on the phone.  They want me to make an Access program that will pull inventory information, IE how many are in stock, etc.  Also, they wanted to add a field that says what each model of a product is similar to another.  What tables are the best to link to and how would I do that?

 Any help would be appreciated!

    I agree with the previous 2 postings, anyway hope thishelps furhter. 

    1. Yes this is possible, go to reports>financial>bank posting journal.

    2. you need to audit if all entries in GL are coming from SL and if all entries in your SL were transmitted to GL control account. check reports from  Tools>routines>financial>reconcile to GL.

    3. this is an easy one. go to inquiry>financial>detail. or you can use smartlist.

    4. how many in stock, go to inquiry>inventory>item inquiry. model use inventory user defined fields.

    There are 3rd party products that will provide easy access to purchase history of customers and substitute items.  Check with DynamicsGenie.com, RocktonSW.com.

    Also, SmartList Builder can be used to create New SmartLists that will organize and sort products from the db to offer simular items.  This SmartList can be placed on the Item Lookup as a Favorite to provide instant push button access to the data.

    And you are working INSIDE the system.

    I absolutely cannot forget the Access database, it's part of what I was hired to do.  This company has made other Access databases in the past and it has posed no real problem as the Access programs were read-only.  I am brand new to this company and GP.  However, this company has been using GP for years and has found it's tracking system basically takes too long to use when you're on the phone with a customer.  We unfortunately don't have time to click through a bunch of menus to find pieces of the information that we need, as well as the fact that GP doesn't track "similar" inventory items if we happen to be out of stock of one. With literally thousands of lines of hats that we sell, GP's inventory tracking is unfortunately woefully inadequate for the needs of the company.

    I echo Frank's comments about forgetting the Access front end.  All you will accomplish is to break the security built into the application and make it possible for someone to distroy your data's integrety.  Then you will be stuck fixing things and creating reports that mostly are already available in the application.

    First, visit our web site and get a copy of the GP Power User's Guidebook.  This book will help your users find their way through a very POWERFUL desk top.  It will also teach you how to find the hundreds of reports in GP that provide much of the information you need.  Including the reprints of many of the original reports.

    As for the balances of the subledgers to the ledger, have they ever been balanced?  If they started out of balance they should remain out of balance.  Look into our Confessions of a Dynamics GP Consultant for help in discovering what can push these subledgers further out of balance.  (There is also a lot of other good stuff in this book).

    As for transactions in a month, you have two options.  Look in the Financials Inquiries, pick an account and a date range.  When the data is displayed, click on the printer icon to print the report.  Otherwise, go into the financials reports and print the desired report by applying the correct parameters.  See the GP Power User's Guidebook for instructions on printing reports.

    To add a cross reference field to inventory, use the Extender product.  I do not know if it is licensed to your firm but everyone should have this and SmartList Builder.  Lots of good tools in those two product.

    Are you calling on your current partner for support?  If they are not giving good support, find another one.  You should expect to pay for support no matter who provides it.  But if you are willing to pay the going rate, you should expect good support.  Interview partners and find out how they can support you best.

    Attend classes.  There are several certified training centers across the country including Integrated Business Group in Orlando Florida ( 407-677-0370 or www.ibgnet.com ).  If your firm won't send you to training classes, then order every one of our books that applies to your site.  You need information!

    There are a number of bloggers that provide good information as well and go subscribe to our newsletter (it's free).  It provides lots of good information every other week.

    My friend, your company needs to get some GP training.  All that you have asked for is very basic and available in GP.  Forget the Access database!  GP provides a very good inventory tracking system.  It sounds like someone in your company just needs to learn to use it.

    There are many kinds of training available for GP, including formal classroom, onsite training, E-Learning from Microsoft and the GP manuals and Help files.  There's even a 'GP for Dummies' book.

    Please do not become dependent on an online forum for answers that can be easily found in the documentation available.
