Historical Trial Balance out of balance

Posted on by Microsoft Employee

I've recently taken on the role of an FC at a company which uses Microsoft Dynamics GP v10.0. I ran the current year trial balance and see that it is out of balance. On further investigation I discovered that the difference is the profit for 2013 (2014 AND 2015 also out of balance). I've never used Microsoft Dynamics GP before and am not sure how this could be fixed. My research on this system indicates that it is not possible to go back and post further than one year back. HELP!

Are all of those years 'closed' years? Are you sure that you are including all of the posting accounts on the report? These days, being out of balance is odd, but it does happen occasionally. Upgrading to 2015 R2 will allow you to open those years and go through the close again.

It's dangerous, but you could edit the GL30000 and add the closing entry using SQL. The closing entry is period 0 and the date is the year-end of the year you are trying to close. There are other field settings, but too much to go over in a thread. You'd need to roll the close forward using SQL too. I do not recommend doing such a thing, but I have been backed into a corner a couple of times and had to do it.

    Kind regards,

    Leslie

In the journal inquiry, 2013 journals are showing as open journal entries. This is a bit confusing as the P&L accounts bbf balances for 2014 were zero. Is it possible to post an adjustment journal to correct current year (2016) bf balances?

    What micki said:

I'm betting that there is a P&L account that was setup as a balance sheet account so the year end closing didn't sweep the balance correctly when the year end was closed and getting this fixed is not going to be that easy of a job.

It might be easier to upgrade to a newer version that will allow you to reopen historical years to fix the issue....

you truly should contact your GP partner to help you with this since you don't have a lot of experience.  It can be fixed!  Also, you should plan to upgrade to a more current version of GP.
