Automate financial dimension based on worker selection on EP

Dear All,

We are using travel and expense module of AX 2012 on enterprise portal and we submit expenses from the same. 

We are also using the functionality of distribution to distribute our expenses among different workers.

I have a requirement that on the distribute expenses form, when I select the worker to distribute the expenses rest of the financial dimensions should also be changed based on the selected worker. 

I know that this is not possible in standard and a customization is required. However the technical is of the opinion that since the worker selection on the distribute expense form is ledger dimension and not default dimension, the same is not possible.

Please help if the same can be done.

    Hi Binit Shah,

    Can you describe a bit more what distribution functionality you use to distribute the expenses among your different workers? (For example, are your workers setup as financial dimensions, etc.)

    How are you doing this distribution exactly and what is your aim?

    It would be great if you could provide a simplified example that illustrates the issue.

    Hi Luwdig,

    Below is an example to illustrate the scenario:

    Employee A, B and C were on a trip to US. All 3 employees were belonging to different departments however the meal expenses were paid by employee A on behalf of all 3.

    When they return from the trip, Employee A creates the expense report and adds the line for meal expenses. Now since the expense was for all 3 employees we are using the distribute amount functionality. So employee A clicks on the distribute amounts button on the expense line and then creates 3 different lines for employee A, employee B and employee C. He clicks on the distribute equally button and then selects the employees B and C on each line in the financial dimensions tab. However employee A is also required to select the CC of each of these employees to book the cost to the correct cost center.

    Here the requirement is that when the employee A selects the worker B in the financial dimension rest all dimension, i.e. the cost center gets updated from the workers B's financial dimension.

    Thank you for sharing this info.

    If I get you right then you specify the employees B and C in the guest tab and then expect that you can do the distribution and inherit the financial dimensions because you specified all employees and therefore know the financial dimensions of all workers.

    You already mentioned that this requires a modification because it is not possible in the standard application as there is no direct connection between the guest and distribution function.

    Regarding the inheritance of the financial dimensions in the distributions form:

    Can't you make an adjustment in the way that you enter the percentage each employee has to bear already in the guest tab? If you are doing that then it should be possible to create the distributions automatically and inherit the financial dimensions of the workers. What is your opinion on that?

    Hi Ludwig,

    Thanks for your suggestion. However another issue we faced on the guest tab is that these employees have employement in multiple legal entities and hence when I want to select an employee in the guest tab the lookup shows multiple records for the same name.

    Hi Binit Shah,

    In this case you also have to bring - that is customize - a legal entity field to the guest tab - similar to what is shown further above for the distributions form.

    Do you have many expense reports that need this distribution? If there are only a hand-full, it might be faster and easier not to make a modification but continue to record the transactions and financial dimensions manually. If you have a lot of them, the modification might, however, be justified.

    P.S. It would be great if you could suggest also Microsoft this modification as an enhancement of the standard product. For that reason, the new ideas site has been launched ([View:https://ideas.dynamics.com/ideas/:750:50]) and I would be happy if you could post this shortcoming there for a fix in the next releases.

    Thank you for your help. Yes there are lot of expense report and hence the modifications are required.
