What’s happening?
Customers have concerns regarding the maximum storage capacity of their tenant, the maximum file size for attachments, and notifications related to nearing storage limits.
Reason:
The underlying cause of this is related to the configuration and management of storage capacity within the tenant environment, including attachment limits and notification settings for storage thresholds.
Resolution:
- For capacity checks, refer to the Capacity Summary Report from the Power Platform Admin Center. This report provides a tenant-level view of storage capacity usage. Only users with tenant admin, Power Platform admin, or Dynamics 365 admin roles can access the Summary tab in the capacity report. More details can be found in the documentation on Dataverse capacity-based storage details.
- To configure the maximum file size for attachments, navigate to the Document management parameters page under the General tab. Set the maximum file size for attachments in the "Maximum file size in megabytes" field. When SharePoint is used as a document type, the maximum file size for uploads is 262 megabytes (MB). Although there is no specific limit on the number of attachments, the interface will display up to 9 attachments, with additional attachments shown as "9+".
- Power Platform Admins will receive notifications if environments are over or 80% close to their approved capacity. Upon receiving an alert, it is recommended to reach out to the environment admin to discuss strategies for capacity management, such as increasing approved capacity, freeing up space, or purchasing additional Microsoft Dataverse storage.
- For email setup, refer to the documentation on configuring and sending email, as this depends on the specific business processes and actions required.
- To monitor performance using SQL insights, access the SQL performance tools available under the SQL Insights tab on the Environment Monitoring page for the specific environment. Reference documentation is available for performance troubleshooting using tools in Lifecycle Services (LCS). Additionally, leverage the Capacity Summary Report for monitoring database, log, and file performance.
