A Note on License Configuration: Cleaning up Human Resources for Your Use

One of the first things that you will notice, as an HR professional transitioning to Dynamics AX 2012, is how different the layout of the Dynamics AX Employee Master Record is from other electronic worker forms designed for use in the HR and Payroll back offices.

You will notice action pane tabs, button groups, fast tabs, the fact box, and links to other related tables. All the information pertaining to an employee is not maintained in a single form. As useful as this can be in organizing the vast amounts of employee data, it can be difficult to navigate at first. If you do not use certain employee features of Dynamics AX 2012, administrators can modify your license configuration to remove unused features. Generally, this process takes place during conversion, however, you can assess the user experience at any time.

Below are two examples of scenarios in which you would want to deactivate core features that come with the Human Resources I license code.

Example 1: We use the USA Payroll module, and do not want to see the wage and payroll information that is maintained in AX for record only

While in the employee master form, click on the Payroll link on the left pane.

Note: The payroll link will only be present for employees, not contractors.

The payroll information maintained in this form is not connected to the USA Payroll module, and we do not want to confuse our payroll admin with extra fields. The configuration key for this can and should be deactivated:

  1. Go to System administration > Setup > Licensing > License configuration.
  2. Find the Human resource I license code and uncheck the Payroll information check box to deactivate that configuration key.

3. Apply the configuration changes and make sure to complete the synchronization process.

4. After the changes are applied, the Payroll link will be gone, and all related tables will be hidden from the Employee master record.

Example 2: We want to activate Personnel actions, but will keep wages and our compensation engine in another payroll software. We maintain our I-9 verification process outside AX.

Note: Personnel actions were introduced in Cumulative Update 7 for AX 2012 R3.

  1. Go to System administration > Setup > Licensing > License configuration.
  2. Find the Human resource I license code and uncheck the Payroll information, Compensation, and I-9 check boxes to deactivate those configuration keys. Check the Personnel actions check box to activate the configuration key.

3. Apply the configuration changes and make sure to complete the synchronization process.

4. After the changes are applied, the personnel action tables will be visible, and you will see the new options on the Employee master record.

The I-9 links will be removed. Before, it will appear as this:

Note: all the related reports will still be visible in the Human Resources area page. Inquiry and Periodic links will be removed, and some setup forms will remain. See the before and after below.

Note: It is good practice for the administrator to restart the AOS whenever changes are made to the license configuration.
