User Profiles vs. Permission Sets in Business Central: What’s the Difference?

When managing users in Microsoft Dynamics 365 Business Central, two core concepts often come up: User Profiles and Permission Sets. While they sound similar, they serve very different purposes.

Let’s break it down.


🧑‍💻 Permission Sets = What Users Can Do

Permission Sets control a user’s access to data and actions. They define what the user is allowed to do in the system.

✅ Examples:

  • Read/write access to customers, vendors, and items

  • Ability to post sales or purchase documents

  • Access to specific companies or modules

🛠 You assign Permission Sets on the Users page or via User Groups.


🖥️ User Profiles = What Users See

User Profiles control the user interface and layout. They define how the system looks and feels for different roles.

✅ Examples:

  • Role Centers (home pages) like “Accountant” or “Sales Order Processor”

  • Which pages and actions are visible

  • Page customizations and UI settings

🛠 You assign Profiles via the User Settings page.
