Duplicate Detection Rules

Are you pissed off with junk data in your environment? Do you want to stop the mess going forward? Why not try duplicate detection rules?

Navigate to Advanced Settings (In UCI) > Data Management > Duplicate Detection Rules

Click on New & you will see the below window. Fill in a name as per your detection rule.

Base record type – defines where you want the duplicates to be avoided

Matching record type – define against what type of record you need to check

Case – sensitive – By default is false. And, you also want to keep it that way for most of the cases.

Now you will select the fields where you don’t want duplicate values.

Criteria – This could be either ‘Exact match’ or ‘Same first characters’ or ‘Same last characters’

So, I am taking you with my use case where I don’t want any of the contacts to have the same email address. And the duplicate rule will look something like below

Save & Publish

Now try creating a new contact with the same email address as existing & it will inform you that there is an existing contact with the same email address.

You see it was that easy & simple!

Tips –

  1. You need to have the System Administrator, System Customizer, Sales Manager, Vice President of Sales, Vice President of Marketing, or CEO-Business Manager security role or equivalent permissions.
  2. You can publish only five rules for the same base record type 
  3. You can’t import a duplicate detection rule to another environment
