Hello there D.M.-azing D365 Community!
I hope it is still not too late to greet everyone a Happy 2023 and it is wonderful to always look back on amazing features we have in Dynamics 365 Finance and Operations.
One of those is this process that we might normally do not take much focus on. And with that, let’s take a look and review this feature together which is the Customer reimbursement process.
First things first…setup.
1. Vendor account where reimbursement will be recorded.
2. Customer setup update. Go to the customer with reimbursement > Select Miscellaneous details > Enter the vendor account created under Remittance section.
3. Reimbursement number sequence on Accounts receivable parameters > Number sequences. This will help as to better determine which transactions or vouchers are from reimbursement.
4. A Person is maintained or linked on you user account in D365 FO. This is as important as the first two. Without this, the open transactions will not be available on the settlement form.

Customer record > Miscellaneous details
Once we have the above needed setup, we can already proceed with the reimbursement process.
Notice that on the Customer transaction screenshot we still have a balance of 90 USD and we want to reimburse that amount to the customer.

Navigate Accounts receivable > Periodic tasks > Reimbursement.

Reimbursement parameter form will display. The user can filter the specific customer account with reimbursement or just simply click OK.

When it is done, a notification will be available whether there is a reimbursement that was processed or none.


When reimbursement was successfully processed, it is created and automatically posted and can be seen on per Customer transactions.


Are we done? Not yet!
Since this is a reimbursement process, we will need to settle or process payment to return the amount to the customer using the Vendor account we created and linked to the Customer.

Apply the normal Vendor payment process. And it is done!


Need some report to view reimbursements that were created?
You can navigate Acounts Receivable > Inquiries and reports > Reimbursement report.
