Hide Share Button to User in Business Central SaaS

We need your guidance regarding Microsoft Dynamics 365 Business Central (SaaS). Our requirement is to hide the “Share” button from list and card pages in the system.

Since we are working in the SaaS environment, we understand that direct base object modification is not allowed. Kindly confirm the correct and recommended approach to hide or restrict the Share action through page extension or any other supported method. ​​​​​​​

    Hello,
    In Business Central SaaS, the Share button cannot be hidden using page extensions or personalization because it is a system-level platform action, not part of the page object, so it isn’t exposed to AL for modification; the supported approach is to control access via permissions or Microsoft 365/SharePoint sharing policies, which restrict the functionality even though the button remains visible, as UI removal of system actions like Share is not supported without unsupported workarounds or heavy custom page replacement.

    Thank you for your reply.

    Basically, our objective is to secure Customer and Vendor data so that it is not accessible to users outside the Finance department. However, departments such as Store and Billing still require limited access to Customer and Vendor information for their operational work.

    We would like your guidance on the best and recommended approach in Microsoft Dynamics 365 Business Central (SaaS) to achieve this. Specifically:

    • How can we restrict full access to Customer and Vendor data only to the Finance team?

    • How can we allow controlled or limited access to Store and Billing departments?

    • What would be the best practice — Permission Sets, User Groups, Security Filters, or any other recommended method?

    Our main concern is data security while ensuring smooth operational access where required.
