    Emailing is not enabled by default in Dynamics 365.
    • Required configuration (all must be true)
      • Server‑Side Synchronization is enabled
        • This is the supported and preferred mechanism for email delivery in Dynamics 365.
        • It connects Dataverse directly to Exchange Online or Exchange Server.
      • Each sending mailbox must be
      • Approved (This approval establishes trust between Dataverse and Exchange)
        • Tested
        • Enabled
      • Email address consistency
        • The user’s Primary Email Address in Dynamics must match an existing Exchange mailbox.
      • Correct Email Server Profile
        • Exchange Online profile (OAuth / server‑to‑server auth) must be assigned.
      • User privileges
        • User must have privileges to send email and access the mailbox (common failure point).
    If any of these are missing, emails will remain in Pending Send or fail silently.
     
     
     
    Sending email from an Activity record vs. a DCP process
    • Email Activity (manual or automated)
      • Email is created in Dataverse
      • Status = Pending Send
      • Server‑Side Sync asynchronously submits it to Exchange
      • Exchange handles final delivery
    • This applies whether the email is:
      • Sent manually from the timeline
      • Created by workflow
      • Created by Power Automate
    • There is no separate “DCP email engine” — all outbound email still routes through Server‑Side Sync and Exchange
     
     
     
    What happens if an email can’t be delivered?
    • Important distinction:
      • Dynamics does not do SMTP‑level delivery.
      • Exchange does.
    • So Dynamics:
      • Submits the message
      • Tracks submission status
      • Receives failure feedback after the fact
    • If delivery fails:
      • Exchange generates a Non‑Delivery Report (NDR)
      • Depending on configuration, Dynamics may:
        • Mark the email as Failed
        • Surface an alert on the mailbox
        • Or simply leave the email as Sent (but bounced)
    • Diagnostics appear in:
      • Mailbox Alerts
      • Server‑Side Synchronization Item Monitoring dashboard
     
     
    Hard bounce vs. soft bounce (how Dynamics treats them)
     
    In core Dynamics (Email Activity):
    • Dynamics does not classify hard vs. soft bounces itself
    • Bounce details are handled by Exchange
    • The user may receive a bounce message in their inbox
    • Dynamics does not automatically suppress addresses
     
     
    Are there multiple delivery attempts?
    • Yes, but this happens in Exchange, not Dynamics
    • Server‑Side Sync submits the message once
    • Exchange may retry delivery automatically for transient failures
    • Retry behavior depends on Exchange policies and the failure type
    Dynamics itself:
    • Does not expose retry counters
    • Does not allow configuring retry attempts
    • Simply reports success or failure back from Exchange
