Attachment in Workflow Approval Email Notifications

Hi Dynamics Team,

I wanted to check if there is any possibility to add an attachment to the approval emails sent through the workflow notification setup.

Currently, the system only sends the email notification, but it does not include the document for which the approval request is being created. We would like to know if there is a way to attach that document to the approval email.

Please let us know if this is supported or if there are any recommended alternatives.

    It's not possible using standard functionality. If you want to do it, you need to customize the system or look if any third party add-ons do it. Most users just use the link in the email to open the document in the system that requires approval.

    No — out of the box, Business Central does not support adding document attachments to workflow approval email notifications. If attachments are required, this would need a custom extension to send a separate email with attachments, or alternatively, documents can be stored on the record or shared via SharePoint with a link in the email.

    If you want an actual file (PDF, etc.) attached to the approval email, the most flexible option is to drive the approval via Power Automate:


    1. Trigger: When a record enters “Sent for approval” (via the BC connector or webhooks/API).

    2. Generate the file:

      • Render the required Business Central report to PDF (e.g., sales invoice, purchase order) using the connector/API, or fetch an existing file (SharePoint “Document Attachments”) 

    3. Send approval email (or start an Approval): Use Outlook or Approvals actions and attach the PDF.

    4. Write back outcome: Update the BC record when the approver approves/rejects.

    5.  

    Pros: Fast to implement, rich email formatting, true file attachments, audit trail via SharePoint/Approvals.

    Cons: Approval happens “outside” BC’s native approval entries; must keep statuses in sync.

    No — not via standard workflow notification setup. Standard approval notifications are generated as notifications tied to an approval entry, and Microsoft only documents customizing the email content/layout (Report 1320 – Notification Email), not adding file attachments.What you can do (recommended alternatives)
    1. Use the email to drive action via a link (standard pattern)Keep the approval email as-is and rely on the email content/link to open the record/approval entry; you can tailor the template text/layout via Report 1320.
    2. Customization (AL extension) – generate PDF and attach itBuild an extension that, on “approval requested”, renders the document as PDF and sends an email with the PDF as an attachment using Business Central’s email capabilities (BC supports outbound emails with attachments up to 100 MB).
    3. Power Automate approachTrigger a flow on approval creation and send an email/Teams card with the document attached (common when you need richer notifications than the built-in workflow emails).

    This feature is not supported in standard Business Central. Approval emails only include a link to the record, not attachments.

    To achieve this, a custom extension is required. The solution involves subscribing to approval/workflow events, retrieving files from the Document Attachment table, and programmatically adding those files to the Email Message before it is sent.

    Alternatively, the recommended approach is to include a record link or SharePoint link in the approval email instead of attaching the document.

    Valid requirement but not in standard Business central. I will say showcase them what we have in standard BC and the information we have and if that's helpful, they can login and check as  email is having a sufficient information. If not then you need to do a customization for this brother.
