Can Sales Order Agent (SOA) skip quote and customer confirmation for PO-based orders?

Hi Everyone,

I’m currently working with the Sales Order Agent (Copilot) in Microsoft Dynamics 365 Business Central and wanted to understand its workflow behavior in a specific scenario.

Scenario

In our business process:

  • Customers send Purchase Orders (POs) directly (via email )

  • Pricing and terms are already agreed

  • There is no need for negotiation or quotation

  •
  •

Operationally, the expected flow is: Customer PO → Create Sales Order → Fulfill

Question

Is it possible for the built-in Sales Order Agent (SOA) to:

  1. Skip the Sales Quote step entirely

  2. Skip sending a reply or waiting for customer confirmation

  3. Directly create a Sales Order (draft or final) from the incoming PO

  4.

Current Behavior Observed

From testing, SOA appears to:

  • Parse the incoming request

  • Generate a draft reply email

  • Wait for customer confirmation

  • Then proceed to create the Sales Order

  •

This seems aligned with a sales negotiation workflow rather than an order fulfillment workflow.

Desired Behavior

For PO-driven scenarios, the ideal flow would be: Customer PO → SOA parses → Sales Order created (no reply step)

This would align more closely with:

  • from PO pdf to Sales Order auto-creation

  • High-volume B2B operations

  • Reduced manual intervention

  •

Question to the Community

  • Is there a configuration or setting to bypass the reply or confirmation step?

  • Or is this a current limitation by design in SOA?

  • Has anyone implemented a workaround while still using built-in Copilot features?

  •

Context

This is particularly relevant in environments where:

  • Orders are already contractually agreed

  • Speed and automation are prioritized over communication loops

  •
Any insights or experiences would be appreciated.

Hello, hopefully the below information helps.

You can change the steps it has in the configure page here but I don't believe it will work for your specific use case:
You could try tweaking those settings. For example you can disable "Review quotes when created and updated" and disable "Send quotes for confirmation". If you enable just "Make orders from quotes". You can find more info here on what you can configure for Create Sales Documents (Set up Sales Order Agent - Business Central | Microsoft Learn):

It doesn't seem you'll skip the quote process completely but you can improve the process by removing the sending quote and validation stage.

As an alternative Microsoft is also giving users the ability to create their own Agents in the newest version of BC. You could in theory write your own agent using plain text/language. I'm not sure what the limitations will be for this but it is worth testing for specific use cases. More info on agent creation here: Create and activate an agent (preview) - Business Central | Microsoft Learn

Also sorry, quick edit, you will want to change these "Messages from senders" settings as well, set it as "No review (advanced)":
