Giving Users Permissions

How do we give users permissions in Business Central 365?

    To assign users permissions in BC you have to search for Users and open that page:
     
    In that page select the user you want to assign permissions to and add them to the User Permission Sets section:
    If you can't assign permissions this way it means that you don't have access on your account. Only users with relevant permissions can make changes to users' permission sets.
     
    Another note, Business Central takes a modular approach to permission set assignments. There are a lot of different permission sets, ways to set permissions up and they all accomplish different things. I would recommend working with a partner to design permissions in your system that meet your needs. The standard out of the box ones should be most of what you need but you may need to tweak them.

    Does the type of license the person has matter.
    We just switched from Dynamics SL installed in 2006.  It was so much better, easier to use.  We should have just gotten Quickbooks.

    Licenses will determine some functionality for users. There are two main licenses. Team Member and Essentials (or Premium but that only applies to manufacturing and service features).
     
    Team Members can't post transactions or create most transactions. They can view data throughout the system. They can also engage in approvals.
    Essentials users can complete all functions in the system without restrictions.
     
    If you're coming from Dynamics SL you should be able to simplify and replicate most processes within Business Central. It will depend on how the implementation was done. Business Central can be a bit confusing and frustrating if you come from a simpler system because it has so many modules and there is a lot of visual noise if it isn't configured correctly. It's usually recommended during an implementation (at least the ones i've been involved with) to strip out as much as possible to streamline the user experience. This would involve updating user permissions but would also involve a Profile/Roles cleanup to hide fields you don't need and only display relevant information.
     
    For example here is a simplified general journal page - it just has a few fields and a few options making it easier for users. You can make these changes across all modules in the system:

    Hello,
    Go to Users, open the user, then assign one or more Permission Sets on the User Card; that’s the standard way in Business Central, and you can make a permission apply to one company only by filling the Company field, or leave it blank for all companies. If you want to do it in bulk, use Permission Set by User from the Users page, and if you manage access by Microsoft Entra groups, use Security Groups and assign permission sets to the group instead. For admins, SUPER gives full access within the user’s license limits, but usually it’s better to assign only the needed sets.

    Permissions can be assigned to users as already described, or to Entra Security groups.  Permissions can then be controllled via member assignment in Entra.
