Create Purchase Orders From Projects with Non-Inventory Items

Right now, I'm having to go to purchase orders and add the items then add the project number, task number, and task type (Budget, Budget & Billable). Is there a way I can create purchase orders of non-inventory items under a task number? I hate having to put items in for my budget and then put them in a second time for a purchase order.

If I attempt to add any additional fields these are what I get for options.
I have the same question (0)

Good morning, afternoon, or evening depending on your location!

In Business Central, you can streamline the process of creating Purchase Orders (POs) from Projects with non-inventory items by using job planning lines and direct purchase integration. Here’s how to make it more efficient:
Option 1: Using Job Planning Lines to Auto-Generate POs
    • Instead of manually entering budgeted items and then re-entering them in a PO, you can use job planning lines to initiate purchases directly.
    • Go to Jobs → Planning Lines, and enter task number, project number, and item details.
    • Use the Create Purchase Order function from within job planning lines.
    • This eliminates double entry—non-inventory items linked to a task will flow into the PO automatically.
Option 2: Automating PO Creation with Requisition Worksheets
    • If you have multiple non-inventory items tied to projects, use Requisition Worksheets to consolidate demand and generate purchase orders.
    • This helps when multiple project tasks require items, reducing repetitive entries.
Option 3: Customizing Fields via Personalization
    • If additional fields like task number aren’t available in Purchase Orders, try Personalization:
      • Go to Settings → Personalize in Business Central.
      • Check if the necessary fields can be added to the PO entry screen.
Option 4: Using Power Automate for Auto-Entry
    • If Business Central doesn’t natively allow your ideal process, Power Automate can automate data transfer from Job Planning Lines → Purchase Orders.
    • This ensures that when a budgeted item is added to a job, a linked PO is created with all project-related details.

    Hope this helps some!

I’d recommend ignoring the AI-generated answer shown below, as it’s incorrect.

To answer your question, unfortunately, no, it’s not possible to use the Create Purchase Orders function on the project for non-inventory items. The reason is that this function relies on the planning engine to calculate item demand, and non-inventory items don’t track quantities. Since there’s no quantity-based demand, the system won’t suggest or create purchase orders for them.

If you want to continue using non-inventory items, your only option is to keep entering them twice: once on the project planning lines, and again manually on the Purchase Order.

An alternative would be to use Inventory type items and enable the Inventory Value Zero boolean on the item card. This allows the system to track quantities (which supports planning and purchase suggestions), but it won’t post any inventory value, making it a good fit if you only use these items for projects. This way you would only need to enter these items once on the project planning lines.

@Valentin Castravet thank you very much! Making my items inventory with the zero inventory boolean toggle worked.

First, I went into profiles and customized my business manager profile to include the zero inventory boolean toggle on the item card.
Next, I created a configuration package and exported my items. I changed items to inventory and set the zero inventory boolean to true. This worked for all items besides ones that were already listed under a project/purchase order/etc.

    Thank you so much!
