Subscription Billing / Renewal Quote error

(6) ShareShare
ReportReport
Posted on by 44
I've created a renewal sales quote from a customer subscription contract. When I attempt to 'Make Order' I get the following error:

"Type must be equal to 'Item' in Sales Line: Document Type=Order, Document No.=xxxx, Line No.=40000. Current value is 'Subscription'.

It initially gave the same error for the three comment lines added to the quote by the renewal process, so I deleted those.

My contract is based on an item with Subscription Option = 'Subscription Item'.

The contract and billing side of things is working fine,

I'm running BC 26.1 online.

Any ideas?

Thanks

Paul.

Can you share the Sales Quote Line Level screenshot, then it will be easy to check the error:

But currently what i understand is that you are not using the correct Type in Line Level.

    Hello,

you will need to remove or adjust any non-item lines before using the "Make Order" function.

This is a known limitation with subscription billing workflows and may require a support ticket or customization to resolve the same.

    Here is the screenshot:

I didn't find anything in the Microsoft documentation that suggested I had to change the type. It says I could add new items but doesn't mention I had to change the existing lines. Changing the type deletes all of the information on the line (description, quantity, price). After I add that back in I can create the order and post it. This seems to create a completely new subscription rather than creating a planned subscription line.

I presume I can just add the new subscription to the contract rather than renewing the existing lines, but that isn't what the documentation suggests should happen.

This error occurs because the "Make Order" process expects all Sales Lines on the quote to have a Type = Item, but one or more lines still have a Type = Subscription, which is not supported when converting to a standard sales order.

Even though you deleted the comment lines, the system likely retained or regenerated a line with Type = Subscription during the renewal process. This type is valid only within the Subscription Billing module but not in standard Sales Orders.

    Solution:

Before using Make Order, go to the Sales Quote and:

    1. Identify and delete or replace any lines where Type = Subscription.
    2. Ensure all remaining lines are valid (e.g. Type = Item, Resource, etc.).
    3. If the Subscription line must remain, consider manually creating the sales order and copying valid lines over.

To prevent this from recurring, you may need to review how your Subscription Item is configured in the contract line and whether the system is inserting default "Subscription" type lines automatically during renewal.

Thanks Sohail, I'll try different configurations of subscription item to see if I can find one that doesn't create the quote with a type of 'Subscription'. I'm currently using items of type 'Subscription Item' - perhaps these are not compatible with the renewal process.

    Thanks to all who responded.

None of the documentation suggests that I have to change the quote liens before creating an order. I understand that type of 'Subscription' is not defined on the sales line but the documentation implies it should work. When I do change the line from 'Subscription' to 'Item' the link to the Customer Contract is lost. This means that when I finally post the order it creates a new subscription but doesn't extend the contract as the documentation suggests (creating planned subscription lines etc).

I've tried it in the UK and DE versions, with multiple item configurations, without success. I did however see a post that suggested someone using the Australian version had it working.

For now we're going to renew contracts manually rather than using the sales quote functionality. Maybe in a future release it will be sorted out.

    Thanks again.

    Paul.
