Tracking Email from Outlook

Dear all,

I have a basic question while tracking email from outlook into CRm.

For exemple, if I receive a new email from someone in our mail box and that person can be a potential lead, I would like to selecte manually if I want to track it or not. This to avoid spam to be tracked.

Q 1 :
What is the most proper and standard to way to setup tracking option in outlook for CRM in order to not have a lot of uneccessary thing which is tracked for nothing ?

Q2 : When we track an email in CRM, it is usually associated by default to the contact person. But we are able to select if the email is related to a quote or opportunity. Based on that if we have an Opportunity and a Quote relative to that email, to which it is more suitable to set the relation to ?

    Hi Sergec,

    Q1: please check this URL: https://www.microsoft.com/en-us/dynamics/crm-customer-center/track-outlook-email-by-choosing-a-button-in-dynamics-365-for-outlook.aspx#Requirements. Tracking emails in Outlook is a manual process, but there is also an option to do it automatically.
    Q2: You can use either button to track a record, but it’s almost always better to use the Set Regarding button. When you use the Set Regarding button, you can link an email message, appointment, or task to a specific Dynamics 365 record such as an account or opportunity, or even a custom record type (entity). Some organizations also use the Set Regarding button to track projects.

    Thanks for your reply.

    Due to our small organisation I am monitoring 2 mail box from outlook, my own mailbox and the sales mails box. So it happen that I need to track email from both mail box.

    Tracking email from my own mail box works fine, but sing I update to CRM outlook 2016, then when I try to track an email from the sales mail box, which is not the default mail box, then I get follwing error all the time :

    CRM for Outlook Error: "Only items in the default Microsoft Outlook store can be promoted to Microsoft Dynamics CRM. Item Name = [subject title]"

    It is wierd and painfull, any idea on this issue ?

    ONly thing I find so far is to go to my setting , swicth my default mail box to sales and restart outlook. I am definitly not going to process that way each time

    Some times I do not understand Microsoft mind in their reflexion :-(

    Hi Sergec,

    The Dynamics CRM Outlook client only allows you to sync 1 default inbox. Your default inbox is your own email, not the Sales Inbox. If you want to track emails from the Sales Inbox, you can drag the email to your own inbox and than track it.
