Disallow approval by submitter parameter for workflows (question)

Hello all,

We are planning to activate this parameter:

Problem: some legal entities have informative steps in the workflow before actual approval, example: if a question is needed, they delegate the step to the submitter and then after that, it goes to the real approval steps. So if we activate this, it would be a problem for these legal entities, as this parameter is global/multi legal entity.

Questions:

-is there a way to do the same but legal entity specific instead of a global activation?
-is there a way to do this in the workflow itself?, we were checking tasks, but tasks also are affected by this parameter, we need to be able to deliver a task to the submitter without being affected by this parameter

I would appreciate any hint or suggestion here. Thanks a lot!

Rgds,
Ricardo

    Hi Ricardo,

There is an alternative in the workflow configuration. You can find a setting called Final approver. In case a workflow gets approved by the same person and the submitter, it will then assign a task to a manager that can be set up in the workflow configuration.

Hi André, thanks for your answe. How does this work?, I mean, here the submitter cannot approve at all if this parameter is activated, then how the submitter can even get the work step/approval step assigned for approval?, this is our problem basically, the workflow will skip the submitter, and we need that for same cases, specifically the informative steps, that the submitter get the work step/approval step assigned.

If I understand correctly, your proposal means that this person (submitter) needs to be able to approve the step/get it assigned in first place (then the Manager gets a task to validate), but this wouldnt work with this parameter active as the submitter would never get this step assigned. Am I understanding you correctly?

or you mean that with this final approval task I could add the submitter as approver/Manager and he would get the work step/approval step assigned anyway? (the problem of this is that not all submitters are always the same person that should get the task, and there may be no other logic than "only the submitter can validate this", but the submitter cannot get the assignation at the same time).

    Thanks!

    Hi Sirius,

If you don't want the submitter to approve the WF and he is still in the list of approvers, then you have to handle this in the workflow by putting the conditions. As shown in the screenshot you shared, the parameter is global and may affect other workflows as well.

With the appropriate conditions in the workflow, definitely, this can be handled.

Rajjos, could you please provide an example of what condition would overwrite this parameter?, this is my doubt, as we havent found any so far. Thanks!

    Hi Ricardo,

With my proposal, you will not enable the global Disallow approval by submitter parameter. As per suggestion from Rajashree, I created a custom participant provider in the past, where it always excluded the submitter in any approval task. The person could be added to tasks, but not to approvals.
Unfortunately, I don't have source code available to share.
