I work for a smaller company and we currently use Business Central. When I started we had 2 Super Users. Over the past few months I have noticed that instead of assigning new permissions or copying user permission sets someone has just been assigning everyone Super User permissions. From what I have read, this could become potentially problematic down the road. I am wondering if this is something that should be addressed and we work towards assigning permissions based on roles or if this isn't likely to cause problems in the future. Any information is helpful, I am just looking to gain some more knowledge on the subject.
Permissions assigned to each user directly governs the amount of data a user can view in your ERP. Do you want warehouse users to see your Chart of accounts? Do you want salespersons to view your P&L? Do you want your purchase users to view your monthly/yearly sales and how many customer payments you receive in a week? Do you want your sales users to see how many different types of expenses are being booked in BC? Do you want non-accounting people to view your Bank balances?
If your answer to the above question is: I only want specific users to see the areas in BC in which they work and not anything else, then you should definitely consider assigning each user a role based permission. Sales users will only see sales, purchase users only see purchase related stuff. Yes it can become a problem as the size of your user base increases - too many eyes may start interfering in areas where they shouldn't be. It will take you a couple of days to set it up, but will make your work easier as the team grows
The idea behind this permission set is to prohibit you from granting users more permissions than you have. The permission set is useful for SUPER users or global administrators who want to delegate permission management to team administrators. For example, a sales manager can assign permissions in sales area to sales people, sales assistant, sales coordinator, and so on.
