How Can I Delete Inactive Inventory Items in GP

Hello everyone, 

Is there a quick easy way to delete inactive inventory items in GP? We hate having them appear in our search windows when typing.

    It is not a simple process as you have to have a pretty clean history for the item before you can remove it.

    I believe one of the requirements has to do with no transactions in the current (immediately) prior year.  The items have to be marked in the Item Card as Discontinued and then using the Inventory >> Routines >> Year End Close - there is an option to Remove Discontinued Items.

    To get to that status might be the hard part.  But keep in mind that if you truly are removing the item, you can also remove transactional history as needed to make that happen.

    Keep in mind, it is always best to do this type of work in a TEST environment where you can control what happens to the data and that will have no impact on your PRODUCTION data.   Make a backup always.

    Bill has been quite comprehensive in his reply. Here is a summarized rule of thumb

    "If the item has quantities on hand, or history exists for the item number, you can't delete the record. However, you can change the item type to Discontinued. When quantities reach zero, and you remove history using one of the remove history windows, the item record can be deleted."

    Hi Kimberly,

    You can mark it as Discontinued.

    At the end of the year, you will be able to remove it during the Year-End Process.

    If you are on a later version of GP - I think 2013 onwards, each user can modify their lookup on Item Numbers to exclude Inactive.  

    When you do a lookup, drop the little dropdown beside "View:  All Items...." and choose to Exclude Inactive.  You can then do the drop down again and choose to "Set as default view".  This then (I believe) means whenever you look up items from anywhere, the default is excluding inactives.

    The same applies for customers and vendors.
