Announcements
Good morning,
I currently approve a multitude of finance journal entries and customer/vendor documents across eight separate entities. These are all assigned via workflows, so we're talking roughly 6x8 = 48 workflows.
I'm going on leave shortly and would like to delegate all of these approvals to another user. Short of updating each workflow individually, is there a fast way to set this up? I've searched on here but am no clearer on a solution, surely there has to be a way to do this relatively simple task.
Thanks.
Is this not a case of using the Business central Feature "Approvers - Out of Office", this then allows you to delegate when users are on annual leave?
Thanks for the explanation - this is what I needed to know about the Delegate After setup. There is one thing that we should clarify, the email address field that you have highlighted next to the substitute field, this is the email address for the person that the User ID belongs to, not the for he Substitute's email address.
Not saying the idea won’t get votes but Microsoft aren’t likely to approve it. Reason being you can escape the lack of flexibility in BC workflows by using Power Automate ones. Checking OOO is available. A nice video guide on adding it to your PA flow: https://youtu.be/r8jk5xigpQg
If this is all new use the BC templates available in PA to get a head start. I have numerous blogs on improving the approval experience in BC: joshanglesea.wordpress.com/
Even as system admin you need to follow the same process and ask another system admin to delegate if you go with method 1.
You can submit the idea here
or see and vote for these ideas (I already did)
Thanks MahGah. I am system admin if that helps at all.
How can we put these ideas to Microsoft? I would expect others to have raised the issue before. This is my first stint with BC and I must say there are some really obvious features that are lacking.
Hi
I am afraid that is not an straight forward solution (unfortunately) .
First you need to go to Approval User Setup page and define substitute for yourself with emails, etc.
Then you have 2 options:
1) System admin goes to Request to Approve page and select those workflow and delegate. This is the fastest way but time consuming
2) Delegate after 1, 2, 5 days from due date through job queue. To do this you need to open every workflow then find the following setup and setup Due Date and then Delegate after 1,2,5 days. You can put the due date as 1D then Delegate after 1 day. this way they get delegate the next day. Then in Job Queue schedule Delegate Approval Requests to run. This way BC will delegate those workflow to your substitute.
