Setting all Users to Read Only in 2013 CRM Online

Hello,

I have a 2013 CRM online instance that I am migrating to some of our on-premise servers. I want to make all users read-only before I migrate to on-premise in case I need to roll back. Is there an easy way to switch between read-only and the existing permissions for all users (Not including Admin)?

    For bulk update: 

    Option 1: Using customized app (console app more likely).

    Option 2: Using data sync tool (Simego) or any data tools with CRM connector.

    Option 3: Export to excel and import back with updated values.

    Option 4: Create a workflow as user owned and run as demand.

    Did you get an answer to this anywhere? Setting over 400 users to read manually or disabling their licenses is not an option for me.

    Would you know a way to set all users to read access mode? Or we really need to do one by one?

    Hi Patricia,

    You can choose these options:

    1. Revoke all users security role (excluding admin as per your demand)

    --> Impact: User cannot login at all.

    2. Create a security role that all entities you set as Read (similar as Mahadeo suggestion) and assign this role to the users

    --> Impact: User can login, but only can perform Read action only

    3. Disable the users

    --> Impact: User cannot login

    Pro here is easy to maintain and revert back later since you just find the System Users, all disable users and then enable it all together.

    4. Change the CAL Access Mode of the users to Read like what Mahadeo suggested.

    --> Impact: User can login and can perform Read action only.

    Hi Patricia,

    What is the purpose of making Users Read Only and do you mean that you don't want them to edit anything?

    If that is the case you can go to Users and do below as required

    1. Under User Record >> Administration Tab >> Access Mode (Field), make the value Administrative rather that Read-Write.

    2. Disable the On Premise Users, meaning that you are removing the License assigned to them.

    I would recommend you to follow the first options, it would be easier to maintain, just change the field values.

    Option 1:

    You can change the access Mode of users from Read-write to Read..

    and once migration is done.. you can revert it back to read-write.. 

    Option 2:

    Users Read-only.. means when user logged in to CRM, then he can cannot update any entity record?

    In this case you can just remove user security role and assign security role with Read permission only.

    You need to create separate role, which has read permission only on each entity and assign this role to users & teams, and remove existing users & teams role.

    Once your migration is done you can assign back those original roles to users and team.
