Keeping phone calls or tasks open - which to use??

We work with the same contact and have continued correspondence. I prefer to keep a call open and just add dates & descriptions of each call, email, etc. - all in the same activity. I have trained the sales team to do the same. The only problem is that starting a new OPEN phone call is not intuitive and some will use the Add Phone Call, which marks it complete.

Also, I have added many fields to the phone call activity so users can have all they need right at that screen. I recommended to only use phone calls not tasks, so we are all using the same. It's easier to multi select and multi edit if same type. Plus, I customized and created workflows for each rep on the phone call.

With this said, I am now thinking that Task may be easier because you can click Add Task and it will stay open (unless marked Complete). It is much easier and quicker to get to that adding a phone call that you want to keep open. The negative of Task is that it doesn't show the contact's name at the contact view of all activities. It just shows the subject.

How can I get everything I want? Ease of adding an open activity and showing the contact name.

    I am having this same issue. Our inside sales team will make a call and fill in the field with information, but they mark it as completed, even if there is a follow-up necessary.

    What would be the best way to make the activity NOT complete, but marked as a 'follow up' necessary?

    Hi,

    you could try creating a workflow for entity phone call, which triggers on create.

    Then add a check condition if status equals "completed"

    Then add step to change status to the status you want.

    Then the phone call should be in the status you need. And in case of update phone call the workflow wouldn't be triggered, so lateron the phone call could be marked complete.

    You could also add more criteria to the check condition, if there should be cases in which the phone call should be already completed on creation.

    Hope this status change from completed will work ;)

    Create an intersecting entity that links to your calls, tasks etc. this way you can have a status on the entity and display it in a grid.
