Import Leads to a certain process stage

Hi!

Recently I received a question about importing leads to the CRM, but some of those leads were on an advanced stage of the Marketing Process.

ie: Our marketing process has cold, warm and hot stages and I want some leads to be imported in warm stage.

    Hi,

    You can use a custom workflow to set the process flow and stage. Scott Durow wrote it and we packaged it up into a solution which you can download for free here www.gapconsulting.co.uk/.../workflow-essentials NOTE: For crm online, there's an issue with the workflow designer not rendering when you have lots of custom workflow steps (Microsoft are aware of it) so you may need to use the plugin registration tool to unregister custom workflow steps you don't need to allow the workflow designer to render. Onpremise/partner hosted deployments are fine however.

    Hi,

    Having done a bit of research, I can confidently say that you cannot set the stage of the business process flow with the help of a workflow or through basic configuration. You may have to evaluate achieving this though a Plugin(Custom Code).

    Here's the high level design. Have a custom field on the Lead form to capture the Stage of the lead. Now fire a PostCreate Plugin to read the value on this field, and call the workflow process (business process flow). Use the UpdateRequest to update the Stage ID within your business process flow and you must be able to see the stage on the UI.

    I tried with workflow, but I can't select the related entity "process stage (process stage)" to set the stage of my imported leads.

    It seems impossible via UI, is there a way to accomplish this via JavaScript ?

    Hi Karth,

    So once I have the import file, I upload it but then manually I'll have to move the lead? I ask this because I will have a file of about 500 leads and 200 belong to "1st stage" and 300 to "2nd stage". So I can't start moving manually 300 leads each time I upload a file.

    I’m assuming you are using the process driven forms. If that’s case, you might have a checklist of tasks that has to be completed before the lead moves to the next stage. You need to include this checklist as column headers in your lead import file.

    For example, if you have a scenario where the lead is currently in Stage 2 and can move to Stage 3 only if the following tasks (checklist on the process header) are completed:

    Identify stakeholders – Yes/No

    Assign team - Yes/No

    You will then need to have two additional columns in your lead source file – one each for ‘Identify Stakeholders’ and ‘Assign Team’, and have a value of ‘Yes’ populated on these fields. While importing the source file, you need to map these fields to appropriate fields in CRM. You will then be able to move the Lead through the process stages.
