Making a name in notes searchable

We have a request to give our Customer Service people the ability to search for a name (not a contact) within CRM and have that search pull up all history based on that persons name.  They do not want to add each of the people at the account in contacts since this would be in the thousands to accomplish that.  Is this possible OOB and if so, how or will this require some behind the scenes programming?

    Hi,

Unfortunately contents in Notes are not searchable. Notes also cannot be included in Reports or Advanced Finds.

    Hope that helps

    Thanks

    Hi LDW-AR,

Actually, you can search the Notes, You can use Advanced Find to search the Notes:

    0003.Notes2.png

Which you can differentiate by Title or filename for each person as the distinction, it is up to you.

Then you can get the result.

But, if you are using CRM 2015, there will be another exciting feature.

    The Global Search for multi-entity.

    Just enable the Note here:

    Notes3.png

    And see the result

    article1.png

And For your additional information, you can use Article, usually, the Customer Service can use Article in the Service Module, so you can search by its name or the content I think also possible.

I hope my answer can help you to search your notes.

    Thank you!

RE: Making a name in notes searchable

With CRM 2013 you can search within the notes description field to check whether the name is present.

If you add "Notes/Annotations" to the site map using the Site Map editor within XrmToolbox (xrmtoolbox.codeplex.com) this will expose annotations to the users. Unfortunately you can not change the "Quick Find" view so the global search will not search the description field. To get around this users can filter the view on the descriptions column with the name they are looking for.

    Hope this is of use

They are not adding the name to the description field.  They have a name field within the case creation form and want to search against that.

You mean you want to search the note based on the Case Name?

If yes then you can use Regarding Case using Advanced Find.

And if you are referring the Note name, then you can use Title.

No, I want to search for a name within the case notes.  The name is not on the title or the case name.

If yes then you can search using Advanced Find

    List.PNG

The first item is the part of the case creation window where the callers name is input.  The second shot is the All Resolved Cases for me that shows the name does exist for viewing outside of the case window.  In Advanced Find though Name is not an option and I cannot see a way to search by it.  We have a hundred cases a day input into CRM so this is kind of an important item for our CSRs.  Ideas?

RE: Making a name in notes searchable

    Hi LDW-AR,

The Name is the display name given to the field on the form whereas the actual display name may be different

Having said that, Advanced Find always shows the field actual display name which is given to it at the time of creation.

I suspect that the display name on the form may have been changed. I suggest you follow below step to get your actual display name and then search in the Advanced Find accordingly

Open your Case form and see the properties of the Name field by following below step

    Hope that helps

    Thanks
