Since D365FO doesn’t let us create RFQs directly for prospect vendors, I explored a workaround (or standard design) using vendor accounts marked as "Bid only" and put on hold. It seems to work well for keeping the process clean while still letting us include those vendors in the sourcing step.
- Vendor account number (can be auto-generated)
- Vendor name
- Vendor group
- Set:
- "Bid only" = Yes
- Vendor hold = All
- Vendors with hold = All cannot be added manually to RFQ.
- However, we can use Vendor search function to add "Hold" vendor. Filter with:
- Vendor hold = All
- Bid only = Yes
- Transfer vendor to RFQ:
- "Prospect" vendor now is added to the RFQ. User can process RFQ as usual.
- For PR-based RFQ:
- If a held vendor is selected and quotation is accepted, vendor info is transferred to the PR.
- PR cannot be released to PO unless the vendor hold is removed.
- For PO-based RFQ:
- Quote cannot be accepted unless the vendor hold is removed.
- For PA-based RFQ:
- If a held vendor is selected and quotation is accepted, new PA is generated.
- PO cannot be unless the vendor hold is removed.
