Restrict user to see completed details of lead and contact created by other users.

Hi,

Thanks in advance.

My problem is I wanted to customize my CRM system in which if user is not the creator of lead/contact than that person can search to see whether record exists or not but unable to navigate to detailed view page.

Which role and permission should be given to such user so he can see all his created record and its details but for the record not created by him can do the search in filter but cannot navigate to detailed view page.

Please help and suggest.

    Hi Inderbhan,

    The Security Role can work to allow users to see (Read) the records only based on the owner, not the Creator...But, basically when you are the creator (manual create not using Workflow or Plugin to create this record), the creator is by default becoming the Owner of the record. My question, what if I am the creator of the record, but I assigned the record to my colleague, John Doe, then should the creator can see the record owned by others (previously the record was created by me) and should my colleague, John Doe can view the record? He is the owner now, but he is not the creator.

    --> CRM Security Role is straight forward, you can view the records (in view or adv find, chart, reports, etc), then you are having privilege to view the detailed record.

    To avoid this, there are three options, first, you can use Field Level Security Profile to hide some fundamental and confidential detail info, second, you can use Role-based Form (but remember the concept in security role is Ownership, the Creation-ship, it is by Owner not by Creator), and hide some information based on Security Role (you hide some detail info in the special form for special security role), it is not a straight forward helping you, because it is by Role, then the third one is you need to develop using custom code, javascript, you can use code to check who is the creator comparing with who is the user currently in login mode and then hide some section or tab (it is really recommended to you to use Form section distinction so that you can just hide a Tab with sensitive info only, rather than you hide one by one), or you can just close the Form onLoad after you found the creator and the current logged in user are not match.

    In CRM if you have permission to view a record then it would appear in the search and you would be able to click on it and view it.  So you wouldn't be able to configure security to only return a row but then not click on it.

    The only way I could imagine you could create the functionality you are after is to create a web page where you took some details and did a search and displayed those details.
