Still want to email disqualified leads - what to do best?

Hello,

During the year, we organize several events and webinars which generate lots of leads (they register via ClickDimensions form on our website and CRM will automatically generate a new lead). 

Some of them will not be qualified or become an opportunity, however we still want to email them for our next campaigns but at the same time we don't want to have them on our open leads list as we consider them as disqualified for that particular event. 

What do we need to do to have those persons still in our CRM ? Do we need to convert them to contacts and if so, how can we do this without having their company's info sometimes?

    Hello Naomi.

    When you disqualify a lead it still remains in your system. So you can easily use them for next lead campaign. Why? Search for leads that have the status "Disqualified" and, for example, the state reason "Lost".

    Dear Karsten,

    Thanks for your quick reply. But the problem is that we don't want all leads that are disqualified still on our distribution list. Most will be irrelevant (only some we want to re-target)... Furthermore, don't we need to delete the disqualified people in the near future to keep CRM manageable?

    Hi Naomi.

    When you close your leads systematically and with correct information, you can keep them. Why not? Your CRM-System is based on a powerfull SQL-Server. In my company we clear our leads after 12 month after closing or last use in a campaign. So you have enough time.

    Sorry for the late answer. Just had one more question: what if that lead downloads again something on or website or registers for an event? Then we want them to be active again so sales can (re)qualify him/her...

    It sounds like you've got leads in at least 3 states; qualified and converted to opportunity, disqualified and maybe email again, and disqualified and don't email.

    The overall status only has 2 options (active and inactive), so you'll need to use another field to distinguish between the 3 states, which you can use to build your marketing lists, and can be used as a filter in your views. This then leaves a question of whether the 'disqualified and maybe email again' leads should be active or inactive; I think either option would work - I'd lean to keeping them active as that means they are editable

    I have a similar question. I am wondering if it's possible that when you select Disqualify and then select a reason, only certain reasons will make the record inactive. Other reasons, such as bad timing, wouldn't deactivate the record as it's still a good lead, just not sales/opportunity ready.

    I think one workaround would be to create a workflow that triggers when a lead is disqualified with a certain status reason the status is set back to active. Kind of inelegant, but I think would work?
