Mass Importing Notes to Leads, Accounts and Contacts in one operation

Hi,

We are trying to migrate some legacy data from Excel format into our dynamics environment. We are using Dyanmcis CRM 365 and i cannot find a way to use the old Data Import Wizard that i have been reference in previous forum posts. Ideally i'd like this to be a single operation that needs to be run. I have tried using the default notes import excel which doesn't allow to specify the contact/account/lead to allocate this to.  Any assistance would be appreciated.

    Hi Steve, thanks for reaching out.

    The data import of Notes can be tricky. I have usually used a 3rd party integration tool for this. If you are importing notes without attachments this should be possible with the import wizard.

    Use a csv file and add column for "Regarding". Place in here the GUID (if you have it) if not the name of the record. Then when you go to import this file on the mapping section you can map this to the 4 records you want it to look for a match.

    Let me know how far this gets you.

    Hi Tom,

    Thanks for getting back so quickly, I have tried this method but it doesn't seem to hold the account, contact or lead name but is showing as complete. Would you know what would cause this or do you know of a way to get the upload to work without the GUID?

    You also mentioned at 3rd party integration tool what was this as it might be worth having a look.

    Hi Steve,

    Glad it got you half way there. So when you open the lead where you expect to see the Note you don't see the note there? Or when you look at a list of Notes you don't see the field "Regarding" populated? Did you adjust the import map to identify how to lookup the matching Account, Contact, or Lead?

    You could do advanced find for Notes createdon = yesterday (or whatever date you did this import). See when you open these note records what is populated in the regarding field.

    Another idea try one entity at a time. Make sure it is a csv file so the wizard asks you to update the import map and select the one entity. You may have to do one entity at a time.

    The third party solution was any data integration solution. Scribe is one, or Sql Server Integration Services is another. Scribe is not as complicated as SSIS, but still significant effort and cost for a one time adjustment like this.
