Contact Syncing between Business Central and Dynamics Sales

We've been making progress in integrating our existing Dynamics CRM/Sales data with our new Business Central data but we have a conflict.

I've come to understand that the easiest solution to integrating is to make Account Table records for our customers in Dynamics Sales -regardless if they are companies or people (prior, only companies/orgs were Accounts).  This will allow all of our CRM customers to have Business Central Customer Table records.

I still want to maintain the different between a "Person" and a "Company" or Business in Business Central however and Sales.

I created a Choice Column in the Account Table of Dynamics sales that clarifies Business or Person for record-keeping sake.

The problem is that all Accounts synced to Business Central from Sales are assumed to be Companies so they are set up with a Company Contact Card and not a Person Contact Card.

The only exception I've seen is if, for example, you had a Contact named Bob Smith in Dynamics Sales and he was already associated with Account XYZ in Sales, then the Contact is synced as a Person Contact Card into Business Central.  Business Central will not sync a Contact from Sales unless it is associated with an Account record already in the first place, unless someone has information to the contrary.  You then would need to create a Customer Card from the new "Bob Smith" Contact Card to have that customer as a customer in Business Central.  Finally, the Bob Smith Customer Card syncs back to CRM as an Account Table record so you now have both a Bob Smith Contact and account in Sales and a Bob Smith customer in Business Central linked to a Person contact Card.

This requires though that the Contact in Sales first be linked to an Account in Sales or it won't work.

I'm wondering if I should create a Tem Account in Dynamics to link Contact records to that I want to sync to Business Central.  This way, they will sync (since they don't without an associated Account) and I'd have a Person Contact in Business Central.  I could then create the Customer Card from the contact so it would then be an Account.  Then, after it syncs to Sales, i could write a workflow to make the Contact relate to that new Account record and set the new Account as a person.

I'm not sure if there's a better solution.  I was planning on creating Accounts in Sales and syncing them to Business Central but the process of converting a "Company Customer" to a "Person Customer" in Business Central is a bit cumbersome and I'm not sure my users would follow the process.

So, in summary, I would like to have Customers (Contacts/Accounts) from Sales who are "people" to be Customers in Business Central who are "people" and no companies in a way that my users will be able to easily work with.

Thank you, Holly, bullets 2-4 are pretty much what I described I was considering doing.

That first bullet is beyond me, I don't know how to change the sync logic to recognize a custom field and create the corresponding card type.

Bullets 5 and 6 are just good sense.

I'll let you know how this works out and hope someone has some more insight to make this work better.  Frustrating MS hasn't made this improvement.  It's like B2C is not really a priority.

Good morning, evening, or afternoon - depending on your location :)
    Hope you are well today!

This situation indeed poses some challenges; there are ways to streamline the synchronization process and maintain clear distinctions between "Person" and "Company" customers. Here’s a proposed approach to address the conflict -

    1. Enhance Integration Logic:
      • Modify the integration process so that the "Choice Column" (Business or Person) in the Account Table of Dynamics Sales is mapped to a custom field in Business Central. This field would serve as the identifier for a "Person" or "Company."
      • During sync, check the value in the "Choice Column" to determine whether to create a Company Contact Card or a Person Contact Card in Business Central.
    2. Streamline Contact Sync:
      • Introduce a rule in Dynamics Sales to automatically associate standalone Contacts with a Temporary Account ("Tem Account") if they aren’t already linked to an Account. This way, all standalone Contacts are synced to Business Central as Person Contact Cards.
      • After syncing, you can create Customer Cards for these Person Contacts in Business Central.
    3. Workflow Automation:
      • Implement a workflow in Dynamics Sales to re-associate Contacts to their corresponding Accounts (if applicable) after they sync back from Business Central. Ensure the workflow updates the Account to reflect whether it’s a Business or Person entity.
    4. Custom Mapping Logic:
      • Enhance the integration’s mapping logic to ensure that Accounts from Business Central sync back into Dynamics Sales with the correct "Choice Column" value ("Business" or "Person").
      • Prevent Accounts from being incorrectly classified.
    5. Optimize User Experience:
      • Simplify the process for users by introducing clear instructions and automated scripts wherever possible. For instance:
        • Automate the creation of Customer Cards in Business Central from synced Contacts.
        • Implement validation checks to prevent errors during classification.
    6. Test and Validate:
      • Test the modified integration and workflows in a staging environment before deployment to ensure consistency and reliability.
      • Ensure that both Sales and Business Central correctly display and manage records based on the "Person" or "Company" designation.
    Alternative Considerations:
    • Dedicated Entity for Persons:
      • Instead of relying on a Choice Column, consider creating a dedicated entity for Persons in Dynamics Sales. Sync it to a corresponding entity in Business Central for better separation between companies and individuals.

    Hope this helps some!

Contact Syncing between Business Central and Dynamics Sales
Dynamics  Sales syncs Accounts to Business Central as Company Contacts, while Person Contacts only sync if they're linked to an Account first.

Hello, Integrating individual customers from Dynamics 365 Sales into Business Central as "Person" customers, while maintaining companies as "Company" customers, can be achieved through careful configuration of the integration settings. Hope the below resources will help you:
