CRM 2015 Online storage not making sense

I've had a ticket open for a month with Microsoft trying to find out why our storage is suddenly going haywire.  We have beeon on CRM Online since 12/2011.  In all that time we had used 4 GB of space.  Beginning in March, 2015, our storage skyrocketed.  We're now over 13 GB.  I just deleted 895 MG of emails.  My storage went UP!!! from 13.34 GB to 13.36 GB.  What is wrong with the storage?????

RE: CRM 2015 Online storage not making sense

I've never quite understood the storage calculation either. I have however successfully opened support tickets with Microsoft in the past and asked for the storage distribution among the top tables of an organization and they were able to deliver this information within a day actually. Using that data, we discerned what parts were larger than expected.

One thing that I have seen traces of is that the storage calculation probably takes the reserved space of a table into account rather than the actual size. When you deleted 1 GB of data the actual size went down 1 GB, but the reserved size remained the same. The database has to autoshrink a table in order for your reserved space to go down. How often they do this I have no idea but in general it doesn't seem to be done on a daily basis (compared to autogrowth which can happen at any time). What you saw with the change from 13.34 GB to 13.36 GB was probably just corresponding to the new data that comes from your daily usage.

At this point I'd suggest either wait a couple of days and see if the storage goes down again and if not, open a support ticket and ask for the data distribution for your top tables and do the analysis yourself rather than wait for them.

Hello Phyllis You may have a look at the previous community discussion going on in the community

In the discussion you may look up to the links provided by Franics Colgan as to mitigate unnecessary space being taken up by data

Also you may find some information about data being stored in the following document.

    Hellow, Bharendu,

I've already read both of those posts and that does not explain why storage increased when I removed a GB of data.  But thank you for trying to help.

    Hi, Daniel,

Thank you.  We can see that the problem is centered around the activities from the table distribution. I have explained to them that the reserved space is significantly disproportional to the actual table size.  Do you find it normal for the reserved table size to be 125% to 160% larger than the actual table size?  IE, activities table actual size is about 2.5 gig; reserved is 6.4.  Do you see the same proportions for your activities table?

    Hi Phyllis

I checked the most recent report for one of our organizations and for most tables the sum of data space used + index space used equals somewhere near 98% of the total table size. This means that our activity tables are at most only 2 percentage units larger than the space used. Quite a large difference from the proportions in your organization.
