Roll up number of appointments this calendar year

I have a requirement to roll up on account, the number of appointments this calendar year. This should automatically updated in the 01/01/2017 and automatically be zero.

I have created a roll up field to count the number of appointments but cannot use a filter to specify this year.

I've looks at the appointment to see if I can create a calculated two-option field to specify this year but again can't run the necessary calculation on the date field.

What options are open to me? I'd rather not use plugins/workflows as I think I'll have issues when the appointment is closed.

I think the best approach would be to use goals since these allow you to set a time period and will give you the count of records. You don't need to set a goal - you can simply use the rollup calculation.

    See crmbook.powerobjects.com/.../goal-management

    Hope this help!

    Hi Scott,

Many thanks for the response. Will this give me the count of appointments in that time period for each account? If I understand it, it will roll up the number of appointments set in a goal for the goal owner?

An alternative I've considered is to create a separate entity (count appt) which will then be rolled up for each account. Then at the end of the time period (i.e. 1st Jan) we bulk delete those to start again.

    Thanks,

    Chris

    Hi,

Yes - the beauty of the goals is that it will roll up the appointments for the scheduled on being in the goal period (as long as you set the Date field on the Roll up field definition to the scheduled date)

    Hope this helps

    Hi Scott,

    Thanks again for you response.

I must be missing something. I have created a Goal Metric (count) with a Rollup Field for the number of completed appointments.

I can't see how to apply this to an account so I can see the number of appointments regarding that account.

    Thanks,

    Chris

    Hi Chris,

You need to have a goal per account using that rollup field.
